As our Office Manager, we will depend on you to coordinate general office activities, assist with billing and payroll, maintain physical and electronic files, and support other departments as needed. We are seeking a sharp, detail\-oriented, individual who is determined and able to exceed expectations.

As our first and most impactful role, we are seeking our first Office Manager to join us in this journey, growing and partnering with us as we establish our presence. The Office Manager has the opportunity to help us establish and lead a new team committed to compassion, integrity, high performance, and excellence.
Job Type: Full\-time, Exempt, Onsite
Salary: $38,000 \- $42,000 annually depending on experience.
What Will Our Office Manager Do?
*Customer Service*
- Serves as a key communication link between clients, caregivers, and the office by handling incoming calls with professionalism, empathy, and problem\-solving. Appropriately resolves inquiries or complaints, and/or directs the caller to the appropriate party.
- Supports scheduling by filling shifts promptly and minimizing disruptions in our client services.
- Provides regular updates to management on staffing, scheduling, and business needs.
- Drives caregiver recruitment and onboarding, ensuring proper training and readiness to serve clients.
- Processes and supports payroll operations, including collecting, reviewing, and reconciling timesheets against schedules, tracking and resolving discrepancies, documenting significant changes as required, and ensuring accurate and timely payroll processing in accordance with company deadlines.
- Creates new hire packets and internal standard operating procedures \& policies and facilitates orientation.
- Process and record accounts payable and accounts receivable transactions, including invoicing, incoming payments, invoice coding, period allocation, monitoring outstanding balances, and ensuring timely collections and payments in accordance with company policies.
- Maintains appropriate confidentiality levels and ensures HIPAA compliance in all aspects of the position.
- Maintains all necessary records related to Long Term Care (LTC) and Medicaid/Governmental programs.
- Performs general office functions such as sorting mail, data input, and file maintenance, ensuring all information is properly filed, organized, and easily accessible.
- High School Diploma or equivalent
- Minimum 2 years of progressive experience in office management, healthcare administration, or staffing/scheduling.
- Proficient in computer use, computer software (Microsoft Office applications), and other relevant forms of technology, including the use of email with the ability to learn other software programs quickly. Proficiency with Wellsky, scheduling systems and related record\-keeping a plus.
- Demonstrated success in recruiting, hiring, and onboarding staff. Strong knowledge of state and local regulations pertaining to recruitment and hiring preferred. Proactively works with payroll and HR vendors.
- Excellent organizational skills with the ability to manage multiple priorities in a fast\-paced environment.
- Valid Colorado driver’s license.
- Must work onsite and be able to drive to client worksites during the workday.
- Able to move items weighing up to 20 lbs.
- Able to maintain a stationary position while working on a computer, for extended periods of time.
