JOB SUMMARY

The Receptionist is an Administrative position responsible for maintaining the front desk at our Houston location. As the Receptionist, you will be the first point of contact for our company. You will welcome guests, properly screen phone calls, maintain Reception and common areas, etc... Desirable candidates should have a pleasant, warm and welcoming personality, paired with a positive, can\-do attitude at all times. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

ESSENTIAL DUTIES

  • Answers front desk phone, screen and transfer calls.
  • Serve visitors by greeting, welcoming and announcing them appropriately, provides parking validation as necessary.
  • Schedule meetings via Outlook
  • Keep the office, kitchen, conference rooms (all common areas) clean and presentable at all times.
  • Performs all opening and closing duties for office, daily (stock sodas, snacks, supplies, etc...)
  • Place weekly Instacart (groceries) and Amazon (supplies) orders for office.
  • Assists with onboarding new hires, ordering business cards, employee parking set\-up, etc…
  • Assists with ordering lunches for office and departments from time to time.
  • Assists with facilitating monthly “Fun” events, CPA Celebrations, Happy Hours, Thanksgiving Potluck, office Christmas party, etc…
  • Assist Houston Partners with monthly expense reports.
  • Manage Houston Corporate Apartment occupant calendar and maintain inventory of snacks and supplies.
  • Perform general clerical receptionist duties such as filing, photocopying, collating, faxing etc., as well as organizing and maintaining office filing and archiving systems.
  • Prepare outgoing mail via Stamps.com.
  • Prepare remote check deposits.
  • Receive and sort daily mail / deliveries / couriers, distribute accordingly, prepare FedEx’s.
  • Maintain security by following procedures and controlling access.
  • Serve as point of contact for building maintenance, shredding services, copiers, Aramark, carpet cleaning, etc…
  • Assists other departments with projects as necessary.
  • KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledgeable of office management systems (including technology, printers, copiers and fax machines).
  • General proficiency in MS Office (Outlook, Excel, PowerPoint and Word).
  • Must be able to type.
  • Excellent time management skills and the ability to prioritize work.
  • Solutions\-oriented. Ability to be resourceful and proactive in dealing with issues that may arise.
  • Positive, can\-do attitude.
  • Pays attention to detail.
  • Exhibits problem\-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi\-task and work under pressure.
  • Must have reliable form of transportation.
  • Must be capable of lifting 25 pounds.
  • Proficient in English.
  • EDUCATION / EXPERIENCE

  • High School degree (Bachelors or Associates preferred, but not required).
  • 1\-2\+ years of proven work\-experience in similar administrative role.
