Position Title: High School Business Clerk**

Department: District Operations

Reports To: High School Principal

Location: Alpena High School

SUMMARY: Maintains financial records for high school clubs and activities, as well as the General Fund for the high school.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintains all staff/building keys throughout the year and verifies annually.
  • Utilizes and reconciles school purchasing card and student payments made through SchoolPay.
  • Manages all school’s internal accounts by coding invoices and purchase orders to correct account codes and orders placed.
  • Coordinates daily staffing needs for teaching staff and instructional assistants.
  • Monitors the absence management tracking software (Red Rover) throughout the day and collaborates with administration when necessary.
  • Processes attendance/timesheets for building staff.
  • Reviews account coding to ensure compliance with the district’s chart of accounts.
  • Monitors school general fund and internal account budget expenditures.
  • Orders, inventories, and approves payment of General Ledger supplies, including teacher, staff, and office supplies.
  • Counts, verifies, writes receipts, and deposits all money collected from club accounts. Uses own vehicle to make daily or as needed trips to the bank to deposit money or to purchase school supplies.
  • Maintains budgets, processes purchase orders, warehouse requisitions for school groups/ activities.
  • Processes fundraiser requests.
  • Assists with all aspects of office operations, including assisting with switchboard coverage, placing/receiving phone calls, scheduling appointments, receiving deliveries, copying, and other needs as assigned.
  • Processes and collects fees for PSAT, Advanced Placement, and other elective testing.
  • Assists with bulk mailings and processes payment for postal services.
  • Orders, inventories, disburses, and collects textbooks. Makes arrangements for the hiring of students to collect and distribute textbooks.
  • Processes and collects fines for lost/damaged textbooks/supplies. Corresponds with parents and students regarding fines.
  • Develops and coordinates all staff graduation needs for K\-12\.
  • Serves in a backup capacity in entering student demographic data on the student information system, including but not limited to, changes to student profile updates, tracking annual student forms (technology, code of conduct, handbook compliance, etc.) at administrator’s discretion and request.
  • Shall be required to cross\-train in all other building secretarial positions, and serve as backup as needed per administrator’s discretion and request.
  • Maintains confidentiality of records and student matters. Follows FERPA regulations as it pertains to student information.
  • Interprets, applies, explains, and follows district policies and school procedures and regulations.
  • Maintains regular and reliable attendance.
  • Reviews email communications regularly and responds as needed.
  • Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES: Youth Volunteer Corp Student(s) as required.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) plus two years of previous office experience is required; Experience in accounting or bookkeeping and a general knowledge of accounting software is preferred.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak Mary J. Lyoneffectively to parents, staff, and students.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent, and to draw and interpret bar graphs.

REASONING ABILITY:

Ability to apply common\-sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and ABILITIES:

Demonstrated ability to use various software applications, including spreadsheet software, Word, Excel, and Google Suite. Ability to develop effective working relationships with students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
