We are seeking a dynamic and highly organized Estate Sale Coordinator to lead and manage estate sale events from start to finish. This role is essential in ensuring smooth operations, exceptional customer service, and efficient administrative support. The ideal candidate will possess excellent office management skills, be detail\-oriented, and thrive in a fast\-paced environment. As an Estate Sale Coordinator, you will coordinate all aspects of estate sales, communicate effectively with clients and buyers, and oversee the logistical details that make each sale successful. Your proactive approach and strong organizational skills will help us deliver outstanding service while maintaining a seamless workflow.
Duties
- Plan, organize, and execute estate sale events, including scheduling, staging, pricing, and marketing
- Manage all administrative tasks related to estate sales using tools such as QuickBooks for bookkeeping and invoicing
- Coordinate with clients to understand their needs and ensure their expectations are met or exceeded
- Oversee front desk operations during sales, including greeting visitors, answering multi\-line phone systems, and providing excellent customer support
- Maintain accurate records of inventory, sales transactions, and client documentation through data entry and filing systems
- Utilize Microsoft Office and Google Workspace to prepare promotional materials, schedules, and reports
- Ensure proper office management procedures are followed, including calendar management, filing, proofreading documents, and managing office supplies
- Proven experience in office management or administrative roles with strong clerical skills
- Prior experience coordinating estate sales or similar events is highly desirable
- Familiarity with QuickBooks or other bookkeeping software for financial recordkeeping
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and multi\-line phone systems
- Strong organizational skills with the ability to multitask effectively in a fast\-paced environment
- Bilingual abilities are a plus for communicating with diverse clients and customers
- Demonstrated customer service excellence with professional phone etiquette and personal assistant experience preferred
