Responsibilities

  • Manage front desk operations, greeting visitors and directing calls with professionalism and courtesy
  • Operate multi\-line phone systems, handle inquiries, transfer calls, and take detailed messages
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with accuracy and speed
  • Assist with bookkeeping duties utilizing QuickBooks software to track expenses and invoices
  • Support office management activities including calendar management, scheduling appointments, and coordinating meetings
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times
  • Proofread correspondence, reports, and other documents for clarity, accuracy, and proper formatting
  • Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies
  • Experience

  • Previous office experience or administrative support role required; experience in office management is a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Gmail, Calendar, Drive)
  • Familiarity with QuickBooks or similar bookkeeping software preferred
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Excellent phone etiquette skills with experience managing multi\-line phone systems
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Demonstrated clerical experience including data entry, filing, proofreading, and customer service excellence
