We’re seeking a proactive administrative professional who thrives in a hybrid office/shop environment to support HR, operations, and administrative functions.
Position Summary
The Administrative Assistant provides essential office and shop floor support, combining human resources tasks with organized administrative duties. This role helps keep personnel records compliant, supports onboarding and training, manages documentation, and assists shop managers with day\-to\-day operations. The ideal candidate is detail\-oriented, discreet, and comfortable working in a fast\-paced manufacturing setting.
Key Responsibilities
- HR and Compliance Support
- Assist with employee onboarding and offboarding processes
- Maintain personnel files and update OSHA safety training records
- Track timesheets and support basic payroll or cost reporting as needed
- Organization \& Filing
- Digitize and maintain organized files for inventory, project documents, and vendor invoices
- Ensure accurate record\-keeping and easy retrieval of information
- Meeting and Administrative Support
- Schedule meetings, reserve conference rooms, prepare agendas, and take minutes for management meetings
- Coordinate travel arrangements and logistics as required
- Front Desk and Shop Floor Support
- Answer phones, greet visitors, and provide general assistance to shop managers
- Assist with light administrative tasks to keep the shop and office running smoothly
- General Operations Support
- Assist with data entry, document control, and correspondence
- Support procurement intake and vendor communication as needed
- Experience: 1–2 years of administrative or HR support experience, preferably in manufacturing, construction, or industrial environments
- Software Skills: Proficiency in Microsoft Word and Excel; familiarity with QuickBooks or ERP software is a plus
- Attributes: Detail\-oriented, highly organized, trustworthy with confidential information, and able to multitask in a busy environment
- Communication: Strong written and verbal communication skills
- On\-site Work: Ability to work on\-site in Jacksonville, FL and collaborate with shop leadership and operations staff
- Fabrication shop and office setting with varying noise levels and PPE requirements on the shop floor
