Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in fostering an efficient, welcoming, and productive workspace. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to manage a variety of administrative tasks with precision and professionalism. As an Office Manager, you will serve as the backbone of our office, supporting staff, managing office systems, and ensuring seamless communication across departments.

Responsibilities

  • Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth
  • Oversee multi\-line phone systems, answer calls promptly, and direct them appropriately
  • Maintain organized filing systems, data entry, and record keeping to ensure easy access to important documents
  • Coordinate calendar management and schedule appointments for team members and executives
  • Handle clerical duties such as proofreading documents, preparing correspondence, and managing mail distribution
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for daily tasks
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Assist with office management tasks such as ordering supplies, maintaining equipment, and overseeing office cleanliness
  • Provide exceptional customer service at the front desk by addressing inquiries efficiently and courteously
  • Manage office communications to ensure timely dissemination of information across teams
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Must Speak Haitian Kreyòl.
  • Must have a clean background.
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Exceptional phone etiquette and experience managing multi\-line phone systems
  • Bilingual abilities are a plus for effective communication with diverse clients and team members
  • Knowledge of clerical procedures such as filing, document preparation, and calendar management
  • Ability to handle customer support duties with professionalism and patience
  • Strong time management skills to prioritize tasks efficiently in a fast\-paced environment
  • Previous experience in medical or dental reception is advantageous but not required; personal assistant experience is also valued
