Overview

We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. Duties

  • Oversee daily office operations, including managing front desk activities and greeting visitors with professionalism and warmth
  • Handle multi\-line phone systems, directing calls efficiently and providing excellent customer service
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives
  • Utilize computer skills with Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, and financial records
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic financial reconciliation\- full accounts receivable
  • Provide clerical support including typing correspondence, proofreading documents, and managing office supplies procurement
  • Assist with personal assistant duties as needed to support team members’ administrative needs
  • Maintain office inventory
  • Run company payroll including subcontractors and sales commissions
  • Ensure KPI compliance across department
  • Act as a C\-suite executive assistant to the CFO and CEO
  • Run culture club for employee outings and philanthropic events
  • Marketing tasks when needed
  • HR tasks for compliance and documentation
  • Experience

  • Proven experience in office management or administrative roles within a professional environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks
  • Demonstrated ability to handle multi\-line phone systems with professionalism and courtesy
  • Bilingual capabilities are highly preferred to serve diverse client needs effectively
  • Prior experience in customer service or reception roles such as dental or medical receptionist is advantageous
  • Excellent organizational skills with keen attention to detail for filing, data entry, and proofreading tasks
  • Experience managing calendars, scheduling appointments, and coordinating meetings efficiently
  • Knowledge of clerical procedures including filing systems, time management techniques, and office supply management
  • Familiarity with office equipment operation such as photocopiers, scanners, and fax machines is beneficial
