Position Summary:
The Human Resources Assistant supports the work of Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility.
The Human Resources Assistant provides administrative and clerical support to the HR and Administration department. This position performs routine HR tasks following established procedures, including data entry, onboarding support, document processing, and responding to basic employee inquiries. Work is performed under direct supervision, and complex issues are escalated to HR leadership. This is a summer seasonal/part time position.
Essential Functions:
- Enters new hire information into the HRIS system and ensures required documents are collected and stored.
- Performs customer service functions by responding to routine employee questions and routing non\-routine inquiries to HR leadership.
- Reviews I\-9 documentation for completeness and accuracy; escalates discrepancies to HR Generalist.
- Provides clerical support for HR projects, audits, and compliance initiatives.
- Assists with community outreach coordination as assigned.
- Assist with processing employment verifications using established procedures.
- Performs other related duties as assigned.
- Follows all YMCA policies and safety and emergency procedures and processes.
- Reports suspicious and inappropriate behaviors and policy violations.
- Follows mandated abuse and incident reporting requirements.
- Meets timelines and deadlines related to supporting systems and employee compliance.
- Models and teaches the Y’s values. Ensure a high level of service with a commitment to changing lives. Provides volunteers with orientation, training, development, and recognition. Cultivate relationships to support fund\-raising.
- Champions inclusion activities, strategies, and initiatives. Build relationships to create small communities. Empathetically listens and communicates for understanding when negotiating and dealing with conflict. Effectively tailors communications to the appropriate audience. Provides staff with feedback, coaching, guidance and support.
- Provides others with frameworks for making decisions. Conducts prototypes to support the launching of programs and activities. Develops plans and manages best practices through engagement of team. Effectively creates and manages budgets. Holds staff accountable for high\-quality results using a formal process to measure progress.

Utilizes non\-threatening methods to address sensitive issues and inappropriate behavior or performance. Has the functional and technical knowledge and skills required to perform well; uses best practices and demonstrates up\-to\-date knowledge and skills in technology
§ Conducts initial background check reviews for completeness and forwards any flagged or questionable results to HR leadership for determination.
§ Provide general support to the HRIS system.
§ Processes routine HR transactions such as address changes, status changes, and updates to employee records.
§ Maintain discretion in matters of confidentiality.
§ Accurately records all hours worked and complies with timekeeping procedures.

Qualifications:

1\. High school diploma or equivalent required. Associate degree or HR coursework preferred but not required.
2\. Minimum age of 21 years.
3\. One to two years of administrative, customer service, or HR support experience in an office environment.
4\. Basic understanding of HR processes, onboarding, or employee documentation (training provided).
5\. Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new systems.
6\. Strong attention to detail and organizational skills.
7\. Excellent verbal and written communication.
8\. Strong customer service orientation.
9\. Ability to follow established procedures and seek guidance when issues arise.
10\. Ability to maintain confidentiality.
11\. Ability to manage time effectively and meet deadlines.
12\. CPR, First Aid, AED certifications and Child Abuse Prevention training.

QUALIFICATIONS

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
COMPUTER LITERACY
Skills are essential in all of the Microsoft Office applications including Word, Excel, and Access. Ability to use these programs to lighten work load, develop reports and to automate procedures is very necessary. Ability to diagnose basic PC problems and to communicate those problems is very important.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
CRITICAL THINKING SKILLS
Ability to solve practical problems and deal with a variety of known variable in situation where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.

This position is based in a standard office environment. The employee regularly works at a computer workstation, interacts with staff and visitors, and performs duties using typical office equipment.
While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device. The employee is regularly required to stand, walk, and talk and hear. The employee frequently is required to walk. The employee frequently is required to use hands to finger, handle, and/or feel objects, tools, and/or controls. The employee must occasionally lift and/or move up to 10 pounds. Possess adequate vision and hearing to safely monitor environment and effective communicate with members. The noise level in the work environment is usually moderate.
HOURS
This is a part time, hourly position. Must be flexible with scheduling and available to work during YMCA operational hours, which may include days, evenings, weekends, and holidays based on center needs.
TRAVEL
Travel is primarily local between assigned to the Association Office during the business day. No overnight travel is required for this position.
