Job Title: Student Ministry Administrative Assistant
About This Role – Part time, 29 hours per week
The Student Ministry Administrative Assistant supports the Student Ministry staff with the logistics involved in the execution of meetings, projects, events and everyday operations of Student Ministry.
You will assist the Student Ministry in scheduling meetings, taking detailed notes, assisting with events and working on the backend of our database to ensure venues are reserved for events, information is up to date and the Student Ministry calendar is visible to the rest of the staff through Master Planning Calendar.
What You’ll Do
- Collaborate in the planning and execution of events and Sunday morning activities
- Maintain budget\-tracking spreadsheets, event documents and post\-event notes to support future planning
- Support student staff members with logistical tasks, such as contacting venues, sending mass emails, executing event blueprints and taking meeting notes
- Execute student ministry expense reports
- Communicate with other departments to ensure they are informed of acts and needs of Student Ministry
- Develop weekly staff meeting agendas based on calendar, notes from previous meetings and suggestions from staff
- Partner with the Student Pastor to ensure Student Ministry budget costs are maintained and visible to ensure wise stewardship
- Track completion of conduct and medical forms from families for events
- Organize discussions from meetings into helpful notes to catch the team up to speed whenever addressing past events
- Pertinent information for budgets, events, etc. is readily available when asked
- Other departments are consistently aware of Student Ministry events and needs
- Families can get information for student calendar and events when emailing, calling or using the church website
- Student Ministry budget information is kept up\-to\-date and expense reports are filed on time
- Enjoys being part of the team and the team trusts you with tasks
- Detail\-oriented, with a keen eye for errors and workflow improvements
- Thrives in being proactive, achieving tasks in a timely manner and supporting others
- Tactful and intentional in verbal, written and electronic interactions with congregants
- Able to manage multiple tasks without pieces slipping through the cracks
- Person of integrity who can handle confidential information
- Minimum of 2 years experience as an administrative assistant
- Ability to prioritize, identify and solve problems and implement solutions
- Strong organizational and follow\-through skills; detail and deadline\-oriented
- Skilled with Microsoft Outlook, Excel and Word; prior knowledge with Rock and Basecamp appreciated, but not necessary
- Schedule: Monday through Thursday; periodic weekends, 29 hours per week
- Work Setting: On\-site

- Physical Requirements: Able to assist with setup and teardown of events

- Compensation Range: starts at $15\.50 per hour, commensurate with experience
- Benefits: 29 hours of paid time off after first year
