Position Overview: ZenPoint Solutions is seeking a HR Assistant to provide administrative and coordination support to our customer's Human Resources team, ensuring the efficient execution of core HR functions. This role assists with recruitment and onboarding activities, maintains accurate employee records, and supports position classification and workforce development initiatives. Working closely with the customer's team and internal stakeholders, the HR Assistant helps manage personnel documentation, track hiring actions, and facilitate communication across teams. The position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities while maintaining accuracy, professionalism, and confidentiality.
Requirements:
Administrative Support
- Assist with HR paperwork, including processing new hire forms and maintaining employee records.
- Prepare and review supporting documents for accuracy and completeness.
- Maintain tracking documentation for assigned hiring actions and certifications.
- Coordinate receipt of requests for personnel action and assist in preparing vacancy announcements.
- Support onboarding by helping new hires complete paperwork and conducting orientation sessions.
- Ensure timely input of new employee information into HR systems.
- Collect and organize position descriptions (PDs) for review.
- Assist in maintaining copies of current and archived PDs.
- Communicate discrepancies and required revisions to HR liaisons and managers.
- Help prepare job aids, technical documents, and templates for classification processes.
- Schedule and support desk audits and interviews for classification purposes.
- Assist in scheduling and documenting workforce development meetings and training sessions.
- Help develop and distribute tools and resources for workforce programs.
- Track onboarding needs and maintain related documentation.
- Support the coordination of short\-term planning and project schedules for workforce initiatives.
- Respond to internal and external inquiries regarding HR processes and documentation.
- Distribute accurate and professional written or verbal responses to stakeholders.
- Schedule and support knowledge\-sharing sessions with team members and stakeholders.
- Enter and update employee information in HR databases and payroll systems.
- Maintain a document repository for HR forms, guides, and templates.
- Assist in compiling weekly staffing reports and other deliverables as required.
- Operate standard office software (Microsoft Office, Adobe Suite, SharePoint).
- Proofread documents for grammar and spelling.
- Support the HR team in routine tasks and adapt to other duties as assigned.
- Associate’s degree or equivalent combination of education and relevant experience
- 0–3 years of experience in human resources support, administrative functions, or a related field
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with HR information systems
- Strong attention to detail with the ability to maintain accurate records and documentation
- Excellent organizational and time management skills, with the ability to manage multiple priorities
- Effective written and verbal communication skills, with a professional and responsive approach
- Ability to handle sensitive information with discretion and maintain confidentiality
- Demonstrated ability to work collaboratively in a team\-oriented, fast\-paced environment
- Flexibility and adaptability to support evolving priorities and business needs
