Job Summary
We are seeking a highly organized and detail\-oriented Submittal Clerk / Document Control Coordinator to support active USACE and Department of Defense construction projects on Ft. Bragg, NC. This position will be responsible for managing project documentation, submittals, RMS administration, and coordination between project management staff, subcontractors, vendors, and Government personnel.
The ideal candidate will have experience working on federal construction projects and must be proficient in the USACE Resident Management System (RMS). Experience with construction document control, specification review, submittal processing, and Government contract administration is strongly preferred.
Responsibilities:
- Manage and maintain all project documentation for USACE and Federal construction projects
- Prepare, upload, track, and maintain submittals, certified payroll, taxes, RFIs, etc. within RMS
- Maintain submittal registers and monitor approval status, revisions, and resubmittals
- Help coordinate with subcontractors and suppliers to obtain required documentation in accordance with project specifications
- Process RFIs, transmittals, closeout documents, warranties, O\&M manuals, as\-builts, testing reports, and QC documentation
- Ensure all project files are properly organized and maintained electronically
- Assist Project Managers, Superintendents, and QC staff with administrative and document control tasks
- Monitor contract deliverables and ensure timely submission compliance
- Maintain daily reports, meeting minutes, labor reports, and project correspondence as required
- Coordinate directly with Government personnel regarding document submissions and project administration
- Assist with project closeout documentation and turnover packages
- Must be proficient in USACE RMS
- Prior experience on USACE, NAVFAC, VA, or Federal construction projects preferred
- Strong understanding of construction submittals, RFIs, specifications, and document control procedures
- Proficient PDF, Word, and Excel document management
- Strong organizational skills and attention to detail
- Ability to manage multiple projects and deadlines simultaneously
