Job Title: Office Administrator
Reports To: VP of Strategic Development
Role overview
As the friendly face of Tryon Distributing, you’ll own little details that make big impressions on our customers, suppliers, and teammates. This role is responsible for greeting visitors and callers, managing mail, and keeping our office flowing as smoothly as our portfolio. You’ll coordinate our office upkeep vendors, maintain kitchen and office supplies, and assist with meeting and event preparations.
Duties and responsibilities
- Answer all incoming phone calls and direct them to the appropriate person, taking and relaying messages as needed.
- Check\-in, welcome, and direct visitors where they need to go as the front desk representative of Tryon.
- Notify the Director of Operations of any security issues.
- Manage incoming and outgoing mail daily.
- Coordinate the scheduling of both conference rooms for parties, meetings, or events. This includes light cleaning before and after the meeting or event, ordering food or supplies if needed, providing coffee or water service, maintenance of the glassware, or event set\-up/break\-down.
- Maintain and stock supplies for the corporate office by receiving quotes for common use items, keeping a vendor and supply list, and monitoring supply levels, communicating when items need to be sourced.
- Organize and maintain a neat, clean, and stocked office.
- Maintain office decorations which include putting decorations up/down for each holiday and ordering new decorations as needed.
- Maintain both kitchens (office and warehouse) which includes verifying the cleaning company is being held to their cleaning standards, coffee and kitchen supplies (paper towels, kitchen utensils, dish soap, hand soap, etc.) are stocked and available for use, and the refrigerators are cleaned out once a week.
- Assist with office events including parties and gatherings. This includes ideas, set up, ordering supplies, and breaking down.
- Oversee the office facility vendors including the coffee supplier, vending machine company, and the cleaning service. Verify that the service is done in a timely manner and within the set standards for each vendor. This includes finding, interviewing, recommending and setting standards for the hired company.
- Upload scanned documents to the company server and provide departments with clerical assistance as needed
- Complete additional duties as assigned
- High School diploma or GED required.
- Exemplary team participation.
- Excellent ability to follow procedures and directions.
- Excellent written and oral communication skills.
- High attention to detail with a proactive approach to tasks
- Ability to maintain a neat and professional appearance
- Three years or more experience in Office Administration.
- Proficiency in Microsoft Office Suite
- Mostly indoor office environment
- Noise from routine office equipment and some warehouse equipment/vehicle noise
- Frequent interruptions
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds occasionally.
- Must be able to bend, kneel, or reach occasionally.
