Moran, Executive Director of Human Resources SUBJECT: ADMINISTRATIVE ASSISTANT VACANCY According to the terms of the contract, the following position is being advertised: SPECIAL EDUCATION OFFICE CENTRAL ADMINISTRATION12 MONTHS GRADE 3QUALIFICATIONS: Ability to communicate in a courteous, efficient, professional manner. Ability to meet timelines and complete assignments in an organized manner.
Excellent office skills, with the ability to demonstrate competent computer processing skills. Possess outstanding written, communication and interpersonal skills. Possess knowledge of various computer software programs (Microsoft Office Suite: Excel, Word, Teams, etc.; Infinite Campus, PCG EdPlan, MUNIS). MAJOR DUTIES AND RESPONSIBILITIES: Coordinate process for all new student intakes and work closely with the Special Education Assistant Directors and Coordinators to track timeliness of program assignments for new students.
Provide oversight for new student information in Infinite Campus and communicate regularly with the Parent Information Center.Receive all home teaching and hospital requests for students and assign tutors as needed. Assist in responding to medical records requestsProvide oversight of record keeping for district wide suspensions Facilitate communication regarding student IEP rejections. Facilitate communication regarding Independent Evaluation requests. Work collaboratively with the Associate Director of Exceptional Learning to create contracts for outside agencies and vendors.
Work collaboratively with the Associate Director of Exceptional Learning to track staffing changes and update staffing spreadsheet accordingly. Work collaboratively with the Associate Director of Exceptional Learning in any activities related to PCG and EdPlan. Complete payroll process for home teaching, grants, steering committees and other overtime opportunities. Facilitate communication, answer phone calls and schedule meetings for the Associate Director of Exceptional Learning.
Support in coordination of processing 688 referrals. Track and monitor Brockton students with disabilities enrolled in private schools or homeschooled.Assist in training other Administrative Assistants and assist in supporting other Administrative Assistants in daily tasks. Communicate effectively with schools, parents, SEPAC, and community agencies. Work closely with the Associate Director of Exceptional Learning, the chairpersons of the Special Education Parent Advisory Council (SEPAC), and support in planning the calendar for SEPAC meetings Perform any other related duties within the scope of meeting operational needs of the Associate Director of Exceptional Learning.
