What we need

eDesign Dynamics (EDD) seeks a full\-time, salaried Administrative and Business Development Assistant to support our energetic and growing consulting firms. Candidates should expect 40\-45 hours per week of work that consists of an in\-office and remote work environment. We are seeking an extraordinary individual who will help our team excel and deliver remarkable work for our clients.

The ideal candidate will be comfortable and experienced in ever\-changing business administration environment. The candidate we seek will thrive in a fast\-paced environment, have a positive attitude, with strong attention to detail with a focus on quality. Possesses multi\-tasking capabilities and organizational skills. Excellent writing, grammar, editing/proofreading, interpersonal/communication, and customer services skills are critical.

What You’ll Do

Project \& Business Support

· Support project managers and staff with document preparation, formatting, and coordination to ensure high\-quality deliverables.

· Assist with maintaining consistency across project materials and internal documentation.

· Provide general support to project teams to improve efficiency and organization of project\-related work.

Business Development \& Proposal Support

· Lead the preparation and coordination of qualifications and proposal packages, ensuring high\-quality, compliant, and timely submissions in response to client RFPs/RFQs.

· Manage the full proposal process, including scheduling, task coordination, document assembly, formatting, and final QA/QC.

· Coordinate with technical staff and leadership to gather content, track inputs, and ensure alignment with submission requirements and deadlines.

· Maintain and continuously improve proposal workflows, templates, and standard materials to increase efficiency and consistency across submissions.

· Develop, maintain, and update marketing materials including project sheets, resumes, and other collateral.

· Track proposal activity, including submissions, outcomes, and follow\-ups with prospective clients.

· Support marketing and outreach efforts through preparation of promotional materials and coordination of business development initiatives.

· Maintain and update client and opportunity databases.

Administrative \& Operations Support

· Ensure the office is kept clean, orderly, and fully stocked, and coordinate day\-to\-day office operations in a hybrid work environment.

· Support management office vendors, supplies, and general logistics to support efficient business operations.

· Support business operations including business registrations, license tracking and renewals, and PASSport system updates.

· Perform general clerical responsibilities such as photocopying, scanning, printing, mailing, shipping and filing.

· Support staff in project\-based work and general administrative needs.

· Performs other administrative and operational tasks as directed.

Information Technology \& Systems Support

· Coordinate with IT vendors and provide day\-to\-day technology support to staff, including onboarding setup, software access, and system troubleshooting.

· Maintain and support internal systems and tools to ensure efficient collaboration and document management.

· Identify and help implement technology solutions to improve workflow efficiency and team productivity.

Human Resources \& People Operations Support

· Support recruiting efforts by coordinating interview scheduling and candidate communications.

· Assist with onboarding processes, including system setup, documentation, and coordination of new hire integration.

· Assist with benefits administration and serve as a liaison with external providers.

· Maintain employee records and support general HR and health and safety compliance activities.

· Associate’s or Bachelor’s degree

· Exceptional communications skills, both verbal and written

· Tech\-Savvy problem solver proficient in Adobe Suite (Acrobat, InDesign, and Photoshop) and MS Office (Word, Excel and Powerpoint, SharePoint)

· Deltek Ajera experience a strong plus

· Interest in digital, multimedia marketing strategy a plus

· Ability to work independently or as a team player with strong organizational skills.

What You’ll Receive

EDD offers a competitive salary, 401k plan and automatic 3% 401k employer contribution, employer paid healthcare premiums (medical, dental and vision), paid time off (vacation and sick leave),. EDD employees are working a hybrid work schedule in our Midtown NYC office.

About the Company: EDD is a NYC\-area ecological engineering consulting firm focused on water resources and ecosystem restoration. We distinguish ourselves by emphasizing sustainable, innovative solutions in solving conventional engineering problems. Most of EDD’s projects are in the fields of green infrastructure design and construction (regional planning, and site\-scale design), green building systems design (rainwater harvesting and reuse systems), ecological restoration (most work involving restoration of tidal wetlands), and modeling (hydrology, groundwater, water quality, and hydraulics). We have extensive experience working on urban ecological restoration projects, frequently combining habitat improvements with stormwater management.

Salary Range: $65,000 \- $80,000 per year
