Position Overview

ADS Healthcare Solutions is seeking a highly organized, detail\-driven, and professional Executive Operations Assistant to provide direct support to the Chief Operating Officer of a growing medical billing and revenue cycle management company.

This is not a basic administrative role. This position supports executive\-level operations, medical billing projects, patient account workflows, reporting, SOP development, task tracking, documentation, and internal process organization.

The ideal candidate is dependable, proactive, and able to work closely with leadership in a fast\-paced healthcare business environment. This role requires someone who understands the importance of accuracy, confidentiality, strong documentation, time management, and follow\-through.

The person selected will assist with both day\-to\-day tasks and higher\-level projects that directly impact company performance, client service, patient accounts, and revenue cycle operations.

Key Responsibilities

Provide direct administrative and operational support to the COO.

Assist with medical billing projects, patient account reviews, reports, and internal worklists.

Support data entry, spreadsheet updates, report organization, tracking logs, and project lists.

Help monitor project deadlines, outstanding tasks, follow\-up dates, and pending items.

Maintain clear and accurate notes on assigned tasks, reports, patient accounts, and project updates.

Track task progress and provide updates on what has been completed, what is pending, and what needs attention.

Assist with organizing and maintaining company SOPs, process documents, checklists, and training materials.

Help create clear workflow documents for billing, credentialing, patient accounts, reporting, and internal operations.

Support the COO with special projects, operational planning, and process improvement initiatives.

Assist with client\-related projects and internal team coordination.

Review and organize patient account information, billing updates, insurance\-related details, and documentation.

Update spreadsheets, trackers, SOPs, and worklists with current notes and completion statuses.

Monitor outstanding items and escalate issues when needed.

Assist the COO with organizing priorities and managing time\-sensitive projects.

Communicate professionally with internal team members, leadership, and clients when needed.

Maintain confidentiality of patient, client, and company information.

Help ensure tasks are completed accurately, timely, and with a high level of professionalism.

Documentation, Notes \& Time Management

Strong documentation and time management are essential in this role. The Executive Operations Assistant must be able to take clear notes, track assignments, follow up on deadlines, and keep work organized without constant reminders.

This role requires someone who can document what was completed, what is still pending, what needs follow\-up, and what requires escalation. Accurate tracking is critical because the COO will rely on this position to help keep projects, reports, and operational tasks moving forward.

Qualifications

Medical billing experience preferred.

Patient account or revenue cycle experience strongly preferred.

Administrative assistant, executive assistant, or operations support experience preferred.

Strong computer skills, including Microsoft Excel, Word, Outlook, Teams, and shared document systems.

Ability to create, update, and organize spreadsheets, reports, trackers, and worklists.

Strong attention to detail and ability to catch errors.

Excellent written and verbal communication skills.

Strong note\-taking, follow\-up, and organizational skills.

Ability to manage multiple priorities and meet deadlines.

Professional judgment and ability to handle confidential information.

Experience with AdvancedMD, MediMobile, Inbox Health, Modio, or other healthcare systems is a plus.
