Administrative Specialist (HEa) \- Mathematics
POSITION DETAILS
This position assists the Director with the daily operations of the Mathematics tutoring center, ensuring the effective coordination of tutoring services, student engagement, peer tutor support, and accurate operational recordkeeping. The administrative specialist plays a key role in maintaining efficient workflows that allow the Director to focus on program leadership, assessment, and strategic initiatives while supporting the delivery of high\-quality academic support services.

- Assist the Director by serving as the primary point of contact for students, tutors, faculty, and staff via phone, email, Zoom, and in person
- Support the Director in maintaining an organized, welcoming, and professional tutoring center environment through front\-desk coverage and daily operational support
- Assist the Director in addressing scheduling conflicts, cancellations, and last\-minute operational changes
- Assist the Director with scheduling tutoring sessions and managing EAB Navigate for in\-person and remote tutoring services
- Assist the Director in matching students with appropriate tutors based on subject needs, availability, and program guidelines
- Assist the Director in tracking tutor hours, timesheets, and payroll\-related documentation
- Assist the Director with hiring, onboarding, and training logistics for peer tutors and front desk staff
- Assist with coordinating substitute tutor coverage when tutors are absent
- Support communication between the Director and tutors regarding schedules, expectations, and operational procedures
- Assist the Director in monitoring tutoring center usage, including student visits, unique students served, frequency of attendance, and utilization trends
- Assist the Director in tracking and organizing data related to tutoring usage and student outcomes.
- Prepare reports, spreadsheets, and summaries related to tutoring usage at the direction of the Director
- Coordinate and support the day\-to\-day operations of the AMTC\+ special tutoring program under the direction of the Director
- Support assessment efforts by collecting post\-session evaluations, surveys, and usage data
- Assist the Director with outreach initiatives, including email communications, flyers, orientations, and event coordination
- Support the planning and implementation of workshops and exam\-review sessions
- Represent the AMTC on behalf of the Director at outreach events as needed, under established guidance.
- Assist the Director with office operations, including supplies, purchase requests, reimbursements, and general administrative support
- Assist with budget tracking and documentation under the Director’s supervision
- Maintain reliable attendance and availability consistent with the center’s operating hours.
- Demonstrate flexibility and responsiveness in supporting a dynamic academic environment.
- Perform other related administrative duties as assigned.
- Experience supporting academic support services, tutoring centers, or student success programs
- Demonstrated ability to coordinate schedules, manage data, and support day\-to\-day program operations
- Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to prepare reports and track program data
- Proficiency in Google Applications (Forms, Sheets, Sites, Docs)
- Proficiency in EAB Navigate
- Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
- Works with appropriate offices related to personnel recruitment, expediting search activities
- Research coordinates and organizes materials for key events such as promotion and tenure reviews.
- Supervises and trains support staff and student workers.
- Manages budget and coordinates purchasing, accounting, and payroll.
- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
- Performs related duties as assigned.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.

COMPENSATION AND BENEFITS
Salary Range: $61,831 \- $76,937\. Salary commensurate with education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3\.5% effective 9/1/26, in accordance with the terms of the PSC\-CUNY collective bargaining agreement.
