Overview
We are seeking a professional and organized Office Assistant/Receptionist to join our team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be detail\-oriented, tech\-savvy, and capable of managing multiple tasks efficiently in a fast\-paced environment. Previous office experience and strong communication skills are highly valued.
Duties
- Answer phone calls and assist customers by taking notes on their plumbing issues.
- Input customer data into CRM software and generate work orders.
- Maintain and update paper and electronic filing systems as needed.
- Schedule estimates for the estimator.
- Scheduling and dispatching service trucks.
- Call scheduled customers to confirm appointments.
- Create invoices from technician's notes and ensure their accuracy.
- Enter customer payments into CRM for payment processing.
- Respond to all emails within 24 hours, contacting requests for service and escalate any issues that need to be addressed to manager.
- Other office duties as assigned.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with the ability to adapt to new software quickly
- Experience with front desk operations and multi\-line phone systems
- Bilingual abilities are a plus for effective communication with diverse clients
- Excellent organizational skills with keen attention to detail for proofreading and data entry tasks
- Ability to manage time effectively in a busy environment while multitasking efficiently
- Previous clerical or administrative experience preferred, including office management or medical/dental receptionist roles
- Knowledge of bookkeeping software such as QuickBooks is desirable
- Strong customer service skills with professional phone etiquette and interpersonal communication abilities
