Overview

We are seeking a professional and organized Office Assistant/Receptionist to join our team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be detail\-oriented, tech\-savvy, and capable of managing multiple tasks efficiently in a fast\-paced environment. Previous office experience and strong communication skills are highly valued.

Duties

  • Answer phone calls and assist customers by taking notes on their plumbing issues.
  • Input customer data into CRM software and generate work orders.
  • Maintain and update paper and electronic filing systems as needed.
  • Schedule estimates for the estimator.
  • Scheduling and dispatching service trucks.
  • Call scheduled customers to confirm appointments.
  • Create invoices from technician's notes and ensure their accuracy.
  • Enter customer payments into CRM for payment processing.
  • Respond to all emails within 24 hours, contacting requests for service and escalate any issues that need to be addressed to manager.
  • Other office duties as assigned.
  • Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with the ability to adapt to new software quickly
  • Experience with front desk operations and multi\-line phone systems
  • Bilingual abilities are a plus for effective communication with diverse clients
  • Excellent organizational skills with keen attention to detail for proofreading and data entry tasks
  • Ability to manage time effectively in a busy environment while multitasking efficiently
  • Previous clerical or administrative experience preferred, including office management or medical/dental receptionist roles
  • Knowledge of bookkeeping software such as QuickBooks is desirable
  • Strong customer service skills with professional phone etiquette and interpersonal communication abilities

Pay: $15\.00 \- $18\.00 per hour
