Position Summary:
The Mortgage Operations Assistant supports the daily functions of the mortgage operations team by ensuring timely and accurate processing of loan files from application through closing. This role is responsible for preparing and distributing disclosure packages, managing rate locks, ordering third\-party services, and providing operational support to loan officers and processing staff. The ideal candidate is detail\-oriented, organized, and able to manage multiple tasks in a fast\-paced environment.
Key Responsibilities:
- Prepare and send initial disclosure packages including LE’s in compliance with regulatory requirements and company timelines
- Send out down payment assistance (DPA) disclosures for Snohomish, South King County, City of Seattle and Housekey
- Send appraisal report and acknowledgement
- Prepare and issue re\-disclosure packages as needed
- Manage and process rate lock requests accurately and within required timeframes
- Order and track third\-party services, including:
- Verification of Employment (VOE)
- Title orders \& request updated fees
- Collect Appraisal payments
- Order 4506 forms 1040, W2, 1099
- Send appraisal invoices after funding
- Monitor outstanding conditions related to third\-party services and follow up as needed
- Maintain accurate loan file documentation within the loan origination system
- Provide administrative and operational support to the Loan Operations team
- Serve as backup to the Loan Originator Assistant when needed
- Under the direction of the Loan Operations Manager, provide backup to other loan operations areas and perform other duties as assigned.
- High school diploma or equivalent
- Two (2\) years of experience working with mortgage lending experience.
- One (1\) year of experience generating mortgage loan disclosures
- Knowledge of mortgage lending policies, procedures and regulation, including TRID \& RESPA guidelines
- Basic math skills
- Familiarity with loan origination systems (Encompass experience required)
- Able to with a strong sense of urgency and responsiveness
- Strong attention to detail and good organizational skills
- Excellent analytical abilities, interpersonal, oral/written communication skills and problem\-solving abilities
- Ability to work independently with little supervision
- Experience working with diverse populations and providing customer service
- Integrity and confidentiality when it comes to handling sensitive information
- Demonstrated patience and professionalism when interacting with both internal and external customers
- Strong computer and data entry skills and ability to learn new software systems quickly
- Proficiency MS Office 365; experience with customer management systems and PDF software programs
- Desire to be part of a team environment and go the extra mile when needed
- Spanish language skills
