Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, strong office management abilities, and proficiency with various office software. This role offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential. The Executive Assistant will be responsible for managing schedules, handling correspondence, and ensuring smooth daily operations within the organization.
Responsibilities
- Manage and maintain executive calendars, schedule meetings, and coordinate appointments using calendar management tools
- Prepare and proofread documents, reports, and correspondence with attention to accuracy and professionalism
- Handle incoming calls via multi\-line phone systems with excellent phone etiquette, directing inquiries appropriately
- Assist with office management tasks including filing, data entry, and maintaining organized records
- Support customer service efforts by responding to inquiries promptly and professionally
- Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other relevant tools for administrative tasks
- Perform bookkeeping duties as needed, including basic invoicing and expense tracking
- Support personal assistant duties for executives such as travel arrangements and personal scheduling
- Collaborate with team members to ensure efficient workflow and project coordination
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Familiarity with QuickBooks and bookkeeping is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional typing speed and accuracy for document preparation and data entry tasks
- Bilingual abilities are preferred to assist diverse client needs
- Experience in front desk operations or medical/dental receptionist roles is advantageous
- Strong customer service skills combined with professional phone etiquette and support capabilities
- Ability to handle multiple responsibilities efficiently while maintaining attention to detail
