Business Admin Assistant
Reports To: Clinical Director/CEO/COO
Position Summary
The Business Administrative Assistant provides comprehensive administrative and operational support to ensure the efficient day\-to\-day functioning of a mental health organization. This role supports clinical and administrative teams by coordinating client services, maintaining accurate documentation, and ensuring compliance with organizational policies, HIPAA, and applicable state and Medicaid regulations.
Key Responsibilities
Administrative Support
- Provide administrative assistance to leadership and clinical staff
- Manage calendars, meetings, and office communications
- Answer phones, respond to inquiries, and direct calls appropriately
- Maintain organized filing systems and office records
- Assist with service authorizations and reauthorizations
- Ensure documentation supports billing requirements
- Communicate with billing staff to resolve discrepancies
- Enter and update information in Electronic Health Record (EHR) systems
- Maintain tracking logs and spreadsheets
- Generate reports for leadership related to compliance, scheduling, and service delivery
- Order and maintain office supplies and equipment
- Assist with coordination of meetings, trainings, and internal events
- Support special projects and general office operations as needed
