Role Summary
We are seeking an energetic and detail\-oriented Office Admin/Customer Coordinator to join our dynamic team! In this vital role, you will be the friendly face of our office, managing daily administrative tasks, supporting customer interactions, and ensuring smooth office operations. Your proactive approach and excellent organizational skills will help us deliver exceptional service. This is a fully remote position that requires high reliability and a commitment to maintaining our professional standards from a home office.
Primary Responsibilities
* Call Center Operations: Handle all inbound customer calls, texts, and emails. Provide accurate service quotes based on preset criteria and proactively follow up on all inquiries.
* Order Administration: Book new orders and schedule deliveries within our CRM. Process credit card payments and ensure all customer data is accurate and up\-to\-date.
* Billing \& Accounts Receivable: Manage invoicing for our commercial accounts and perform light collections to ensure cash flow remains current.
* Dispatch \& Logistics Support: Serve as the bridge between our customers and our delivery team. Coordinate route priorities and align customer preferences with our fleet capabilities.
Qualifications \& Skills
* Customer Service Excellence: Possess contagious positive energy and a professional “brand\-first” attitude, able to turn potential issues into positive outcomes with balanced and rational thinking.
* Communication: Exceptional verbal and written skills. You must be comfortable explaining pricing, terms, and our unique service value to both residential and commercial clients.
* Computer Savvy: Experience with CRM tools or similar web\-based applications. Greater level of savvy translates into greater value to the company and customers.
* Systems Thinker: We value someone who doesn't just "do" tasks but can resolve minor issues independently. You should be able to prioritize tasks generally based on preset criteria and suggest ways to streamline our administration.
* Multi\-Tasking: Ability to manage urgent logistics priorities with a composed, professional attitude.
* Local Knowledge: Familiarity with the Brevard County geography to assist with territory\-based quoting and routing.
Requirements
- Professional phone etiquette and customer service skills to handle inquiries courteously
- Strong organizational skills with attention to detail and time management expertise
- Proficiency in web\-based applications, Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace tools
- Prior experience in front desk operations or office management is highly desirable
