Part\-Time Assistant Bookkeeper Position

Overview:

Hello and thanks for your interest in working together! My company (Capital Creek Bookkeeping) helps small businesses keep accurate financial books using Quickbooks Online. Behind the scenes, there's a lot of digital organization, admin work, and system\-building that keeps everything running smoothly — and that's where you come in.

We are completely virtual so you would get to work from home, as long as you have a solid and secure internet connection along with the time and space needed.

I’m biased, but I truly believe Capital Creek is an awesome place to work. You'll play a key role in keeping our business organized and running efficiently, with the flexibility to work on your own schedule (as long as deadlines are met and tasks get done).

Honestly though, this job is not a good fit for everyone \- Here are some potential pitfalls along with some parts of the position that make it great:

Let’s get the potential pitfalls out of the way first:

* This role is starting out as an at\-will position for an initial 90\-day period. At the end of that period, we’ll evaluate the workload and fit on both sides to determine whether to continue. Last time I had a VA, I found that I couldn’t fill their schedule as much as I planned. While I think things will be different for this hire, I want to explicitly evaluate how things are going at the 90 day mark so I have the option of parting ways if hiring a VA isn’t providing the impact I’m looking for.

* The hours are flexible but inconsistent. This is a part\-time role with no guaranteed weekly minimum. Hours will vary depending on what's going on in the business. Some weeks there may be a lot to do; others, not as much. You need to be genuinely okay with that.

* You'll need to learn our systems. Capital Creek has specific ways of doing things — from how we organize Google Drive, to how we use ClickUp, to how we handle admin tasks. There's a learning curve at the start, and I'll be involved early on to make sure you're picking things up correctly. It might feel like a lot at first, but I'm committed to supporting you through it.

* This position will always be part\-time and there won’t be an opportunity to be promoted to a different position. It is not meant for people who want full\-time work and to move up the corporate ladder. I’m hiring you to be an extraordinary Virtual Assistant who can learn our way of doing things and help the team provide excellent bookkeeping services to our clients.

Now let’s talk about the good stuff:

* We’re 100% virtual. You just need to live in the United States.

* This is a pretty chill place to work. As long as you are following procedures and meeting deadlines, I don’t really care when you work. Sometimes we might have a meeting, but that’s rare. All team members have their own schedules and lives and I don’t want work to get in the way of that. They are able to balance everything with their Capital Creek tasks and they really enjoy working here.

* We are systems focused at Capital Creek. When things go wrong, my first assumption is that one of our systems or processes is insufficient. I’m slow to blame my team members for mistakes. I believe this creates a really healthy working environment where team members can feel confident as long as they are following our predetermined processes and systems.

* You are a part of a supportive team. We are all about teamwork and we believe we are all stronger as a team. We give you the support and help you need. You will be working directly with the Lead Assistant Bookkeeper and the owner of the business, Kevin.

Let’s discuss the job requirements:

  • You are extremely organized and nothing falls through the cracks
  • You're comfortable navigating multiple digital tools and learning new software quickly
  • You’re very comfortable using computers
  • You're a systems thinker — you love creating order and building repeatable processes
  • You communicate proactively and know when to ask for help
  • You're detail\-oriented and take pride in doing things the right way
  • Some specific things you’ll get to do (examples of tasks I’m looking for help with at this moment):

  • Download bank statements for client bank and credit card accounts
  • Organize our digital infrastructure (Clickup and Google Drive need some spring cleaning)
  • General administrative tasks
  • Helping us build and deploy a knowledge base for our Assistant Bookkeepers to use (will cut back on their questions for Kevin the business owner)
  • Test out a new time tracking system and if Kevin approves the new system, help implement it for the team
  • Help systematize processes
  • Various other projects/tasks as assigned (New things come up throughout the year)

    Compensation:

    This is what I can offer at this time:

  • Part\-time, non\-exempt position
  • $20/hour
  • No weekly hour minimums — hours are assigned as needed
  • 100% remote — must be US\-based
  • Paid Time Off: Accumulate .04 hours of PTO per hour worked. Caps at 50 hours.
  • Sick pay: You have 24 hours of sick time each year.
  • This is a virtual role, and I try to be flexible with schedules, but we do operate on the Pacific Standard time zone.
