Operations Assistant - Pool Service Company

Blue Fox Pools is a growing pool service and repair company serving customers across the Houston area. We’re looking for a reliable, organized, and proactive Operations Assistant to help manage customer communication, new leads, scheduling, technician coordination, and day\-to\-day administrative support.

This is a key support role for someone who is sharp, responsive, detail\-oriented, and comfortable keeping many moving pieces organized in a busy service business.

Responsibilities

  • Answer inbound calls from customers and new leads
  • Respond to texts, emails, voicemails, and online inquiries
  • Qualify new leads and gather service details, photos, addresses, and customer information
  • Schedule service visits, estimates, repairs, and follow\-ups
  • Coordinate with technicians on route updates, customer issues, repair needs, and scheduling changes
  • Keep customers updated on appointment timing, delays, next steps, and open items
  • Enter and maintain accurate notes in our service/CRM systems
  • Follow up with open leads, pending quotes, unpaid invoices, and customers awaiting next steps
  • Help prepare and send service confirmations, quotes, invoices, and payment reminders
  • Track outstanding customer requests so nothing falls through the cracks
  • Support general operations and administrative tasks as needed
  • What We’re Looking For

  • Strong written and verbal communication skills
  • Professional, friendly, and calm phone presence
  • Highly organized and detail\-oriented
  • Comfortable using software, calendars, messaging apps, and CRM/service platforms
  • Able to manage multiple tasks and conversations at once
  • Reliable, responsive, and proactive
  • Good judgment on when to resolve something directly versus escalate it
  • Prior experience in operations, customer service, dispatching, home services, property management, or trades is a plus
  • Pool industry experience is helpful but not required
  • Ideal Candidate

    You are someone who naturally keeps things organized. You are comfortable communicating with customers, following up without being reminded, and making sure open items get closed out. You do not need to know the pool industry on day one, but you should be sharp, dependable, and willing to learn.

    Schedule

    Flexible schedule available, but coverage during normal business hours is required. Some occasional after\-hours or weekend responsiveness may be helpful depending on customer volume and urgent service needs.
