We are seeking a dependable and organized Operations Assistant to support daily administrative and client services within our growing practice.

The Role: This role is a part\-time position responsible for managing all administrative functions of the practice, including client communication, scheduling, intake processing, insurance verification, billing coordination, and EHR management. This role ensures a seamless client experience while protecting the financial and operational integrity of the practice.

Schedule:

  • 25\-29 hours/week.
  • Must be available during standard business hours with some flexibility.
  • Office presence is required 3\-4 days/week.
  • Key Responsibilities:

  • Assist with client scheduling, inquiries, and appointment management.
  • Respond to phone calls and emails with professionalism and care.
  • Support client onboarding, intake paperwork, and portal setup.
  • Maintain accurate documentation and EHR records.
  • Assist with claims support, payment processing, and file management.
  • Provide general administrative support.
  • Coordinate with clinical staff for scheduling and communication needs.
  • Support special projects and daily operational workflows as assigned.

    * Competitive Pay: Hourly compensation commensurate with experience in medical/behavioral health billing and operations. Eligible for increase after satisfaction of 90\-day new hire period.

    Minimum Qualifications:

  • High School Diploma or GED.
  • Strong organization and attention to detail.
  • Excellent written and verbal communication skills.
  • Comfort with technology (email, scheduling platforms, EHRs a plus).
  • Ability to handle confidential information responsibly.
  • Reliable internet for remote work.
  • Professional, compassionate attitude with clients and staff.
  • Preferred Qualifications:

  • Experience in behavioral or medical office settings.
  • Prior experience with client scheduling and customer service.
  • Basic understanding of mental health practice operations.
  • Familiarity with HIPAA\-compliant technology.

    Pay: Up to $17\.00 per hour
