Administrative Assistant – CEMAX ConstructionOverview
CEMAX is seeking a highly organized and driven Administrative Assistant to support our growing construction and restoration operations. This role is critical to keeping our projects, inventory, and internal systems running efficiently day\-to\-day.
The ideal candidate is proactive, detail\-oriented, and comfortable working in a fast\-paced construction environment. You will play a key role in managing inventory, supporting project coordination, handling client communications, and ensuring compliance with insurance and safety requirements.
Responsibilities
- Manage and track company inventory, materials, and equipment to ensure accurate counts and availability for ongoing projects
- Assist with light bookkeeping tasks, including invoicing, billing support, and expense tracking
- Handle client communications via phone and email with professionalism and responsiveness
- Maintain organized records for projects, employees, and company documentation
- Ensure all employee insurance documents, certifications, and safety training records are current and properly filed
- Support light HR functions including onboarding paperwork, tracking employee compliance, and maintaining personnel files
- Coordinate schedules, meetings, and project\-related logistics as needed
- Perform data entry and maintain internal systems with accuracy and attention to detail
- Assist with general office management tasks to keep operations running smoothly
- Prior experience in administrative, office, or clerical roles (construction industry experience is a strong plus)
- Strong organizational and multitasking skills with the ability to prioritize effectively
- Proficiency in Microsoft Office (Excel, Word, Outlook) and/or Google Workspace
- Basic understanding of bookkeeping (QuickBooks or similar software preferred)
- Excellent communication skills with strong customer service ability
- Ability to manage sensitive information and maintain confidentiality
- Detail\-oriented mindset with a high level of accountability
- Bilingual (English/Spanish) is a plus
