  • Greet customers warmly at the front desk, providing a welcoming atmosphere for visitors and callers alike
  • Manage multi\-line phone systems efficiently, directing calls accurately and courteously
  • Handle data entry tasks using computer skills, including updating customer records and processing transactions
  • Maintain organized filing systems, ensuring all documents are accurately stored and easily accessible
  • Support office management duties such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical tasks including proofreading documents, managing correspondence, and supporting administrative functions
  • Provide exceptional customer support by addressing inquiries promptly, offering solutions, and ensuring a positive experience for all clients
  • Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with excellent time management abilities
  • Experience with office management tasks such as filing, data entry, and calendar coordination
  • Bilingual capabilities are highly desirable to serve diverse customer needs effectively
  • Knowledge of front desk operations, multi\-line phone systems, and phone etiquette
  • Familiarity with QuickBooks for bookkeeping and basic office accounting functions
  • Previous clerical or administrative experience in a customer service environment is preferred
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Excellent proofreading skills to ensure accuracy in all communications
  • Office experience in medical or dental reception is a plus but not required; relevant personal assistant experience is beneficial
