- Manage multi\-line phone systems efficiently, directing calls accurately and courteously
- Handle data entry tasks using computer skills, including updating customer records and processing transactions
- Maintain organized filing systems, ensuring all documents are accurately stored and easily accessible
- Support office management duties such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical tasks including proofreading documents, managing correspondence, and supporting administrative functions
- Provide exceptional customer support by addressing inquiries promptly, offering solutions, and ensuring a positive experience for all clients
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with excellent time management abilities
- Experience with office management tasks such as filing, data entry, and calendar coordination
- Bilingual capabilities are highly desirable to serve diverse customer needs effectively
- Knowledge of front desk operations, multi\-line phone systems, and phone etiquette
- Familiarity with QuickBooks for bookkeeping and basic office accounting functions
- Previous clerical or administrative experience in a customer service environment is preferred
- Ability to handle sensitive information with discretion and maintain confidentiality
- Excellent proofreading skills to ensure accuracy in all communications
- Office experience in medical or dental reception is a plus but not required; relevant personal assistant experience is beneficial
