A growing California\-based telehealth psychiatric practice is seeking a highly organized and resourceful Personal \& Administrative Assistant to support the practice owner across both business and personal responsibilities. This role offers direct business and back\-office exposure to a growing healthcare practice — a rare opportunity to learn how a modern medical business actually operates from the inside.
This is an excellent opportunity for a college student or early\-career professional who is exceptionally organized, takes initiative, and is willing to figure things out independently.
Position Details
- Schedule: 15–20 hours per week, flexible around class or other commitments
- Structure: Hybrid — approximately one\-third in\-person (local errands and office mail), two\-thirds remote
- Compensation: $22–25 per hour, based on experience and fit
- Classification: 1099 or W\-2, based on mutual fit
- Location: Candidates must reside within reasonable driving distance of Irvine, California.
- Organize and categorize business receipts for submission to the bookkeeper
- Monitor business bill payments to ensure timely processing
- Manage the practice owner's calendar and proactively prevent scheduling conflicts
- Coordinate business travel arrangements
- Maintain an organized email inbox through regular triage and filing
- Maintain digital file organization across business systems
- Assist with data entry and profile setup within our practice management system; training provided
- Help maintain a tracking system for internal policies and procedures, monitoring review dates and flagging items as they come due
- Support the organization and upkeep of internal documentation and reference materials
- Assist with the rollout of new workflows and tools by helping document processes and keep shared resources current
- Coordinate social media content scheduling and posting
- Help maintain organized digital folders and shared drives so that key documents are easy to locate and consistently up to date
- Assist with tracking active tools, services, and subscriptions
- Support occasional special projects related to practice growth and operational improvements

- Mail collection from the office and outgoing mail handling

- How a modern telehealth practice is structured and scaled
- Day\-to\-day financial workflows: receipts, expense tracking, vendor management
- Healthcare compliance fundamentals, including HIPAA
- Practice management technology.
- Operational systems that support clinical, financial, and administrative functions
- Demonstrated organizational ability — whether through academic, work, volunteer, or personal experience
- A self\-starter mindset: comfortable researching, troubleshooting, and figuring things out without step\-by\-step instruction
- Proficiency with Google Workspace and general comfort with technology
- Strong written communication skills
- Professional discretion in handling confidential business and patient information
- Reliable transportation and a valid California driver's license
- Willingness to complete HIPAA training and execute a Business Associate Agreement
- Successful completion of a background check
- Currently enrolled in or recently graduated from a college or university
- Coursework or interest in healthcare, business, psychology, or a related field
- Familiarity with social media platforms (Instagram, LinkedIn)
- Prior experience in any administrative, customer service, or organizational role
