Duties

  • Greet visitors warmly, verify appointments, and direct them appropriately
  • Manage multi\-line phone systems, answer inquiries, and route calls efficiently
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management tasks
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
  • Support office management activities including supply ordering, record keeping, and general clerical duties
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Assist with bookkeeping tasks and basic administrative support as needed
  • Qualifications

  • Proven experience in front desk or administrative roles within office environments
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Excellent phone etiquette with experience managing multi\-line phone systems
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Previous experience in medical or dental receptionist roles is a plus
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Attention to detail for proofreading, filing, and maintaining accurate records
  • Personal assistant or office management experience is advantageous
  • Knowledge of bookkeeping, calendar management, and time management techniques
