We are seeking a highly organized, proactive, and detail\-oriented Office Assistant / Administrative Coordinator to support our daily operations and keep our team running smoothly. In this role, you’ll serve as the central hub of communication and coordination—managing schedules, supporting administrative processes, and ensuring nothing falls through the cracks.

Key Responsibilities

  • Manage and maintain calendars, including scheduling meetings, appointments, and coordinating availability
  • Organize, coordinate, and
  • confidently host meetings (in\-person and virtual)

  • Take accurate meeting notes, distribute minutes, and track action items to ensure timely follow\-up
  • Handle calls, and respond to inquiries with excellent phone etiquette
  • Maintain organized records, documents, and filing systems (digital and physical)
  • Perform data entry and document proofreading with a high level of accuracy
  • Assertively track action items, follow up with stakeholders, and ensure timely completion of tasks
  • Expectations

  • Proven exposure in an administrative, office assistant, or coordinator role
  • Strong organizational, multi tasking and time management skills with the ability to prioritize tasks and manage dependencies
  • Excellent written and verbal communication skills
  • High attention to detail with strong follow\-through and accountability
  • Positive attitude, flexible mindset, and willingness to adapt in a fast\-paced environment
  • Self\-driven and self\-motivated, with the ability to take initiatives and work independently
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
  • Experience with calendar management and meeting coordination tools
  • Familiarity with project or task management tools
  • Bilingual abilities are a plus
  • Knowledge of the trucking industry is a plus, but not required
