Overview
As an Associate, you’ll play a key role in supporting the daily operations and hospitality experience of your Expansive center. This full\-time position focuses on front desk reception, mail management, and corporate meetings and events support, ensuring our clients, guests, and partners receive an exceptional experience every day. Key Responsibilities
Reception
- Serve as the welcoming face of Expansive, greeting every guest and client with professionalism, warmth, and enthusiasm.
- Manage the Hospitality Desk during business hours, ensuring prompt and courteous responses to inquiries, calls, and emails.
- Oversee arrival of members, visitors, and meeting guests.
- Maintain a polished, organized Community Lounge that reflects Expansive’s brand and hospitality standards.
- Provide building tours or introductions for prospective members when needed.
- Receive, log, and distribute all incoming mail and packages for clients.
- Scan and upload mail to client portals or digital systems for virtual office members.
- Maintain secure and organized mail\-handling practices to protect client confidentiality.
- Monitor office supply inventory, restock as needed, and support basic operational tasks (printing, scanning, IT troubleshooting).
- Partner with property management and maintenance teams to report and resolve any facility issues.
- Greet corporate meeting and event guests with a high level of professionalism and hospitality.
- Prepare meeting rooms and event spaces, ensuring all furniture, AV, and catering setups meet client expectations.
- Support the Hospitality Manager and/or Events team in coordinating logistics for meetings and events—from booking to completion.
- Monitor event schedules, confirm details with clients, and provide on\-site assistance during events.
- Maintain communication with internal departments to ensure seamless execution and client satisfaction.
- Provide responsive and friendly support to clients and guests, ensuring a positive daily experience.
- Assist with local community events, member appreciation days, or small center activations.
- Support the Community Manager with administrative, operational, and sales\-related tasks as assigned.
- Uphold Expansive’s core values of hospitality, reliability, and client\-first service.
- Customer service experience preferred but not required—preferably in hospitality, coworking, retail, or office reception.
- Excellent communication skills, both verbal and written.
- Comfortable using office and scanning equipment including Gmail and other platforms.
- Highly organized and able to balance multiple priorities efficiently.
- Professional appearance, reliable attendance, and strong attention to detail.
- Friendly, approachable, and naturally service\-oriented.
- Reliable, punctual, and responsible in managing assigned tasks.
- Proactive and adaptable in a fast\-paced environment.

- Option to work additional hours outside of business hours; Event Pay is $45/hour
