We are seeking a dynamic and highly organized Administrative Assistant to join our team. Responsibilities

  • Manage front desk duties answering multi\-line phone systems, and directing calls with professional phone etiquette
  • Maintain organized filing systems, data entry, and accurate record keeping using tools like Microsoft Office and Google Workspace
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives and financial data input and logging.
  • Support bookkeeping tasks such as invoicing and basic QuickBooks entries to ensure accurate financial records
  • Provide customer support through prompt responses to inquiries via phone or email, ensuring excellent service standards
  • Perform clerical duties including proofreading documents, preparing reports, and managing correspondence
  • Oversee office management tasks such as supply inventory, filing systems, and general administrative support to ensure a productive work environment
  • Requirements

  • Proven experience in an office setting with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
  • Experience with multi\-line phone systems and excellent phone etiquette skills
  • Ability to manage time efficiently with strong organizational skills and attention to detail
  • Bilingual abilities are preferred to assist diverse clientele and team members
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Previous experience in roles such as receptionist, personal assistant, or medical/dental receptionist is advantageous
  • Demonstrated ability to handle confidential information with professionalism and discretion
