    GENERAL DESCRIPTION:

    The Office of State Lands and Investments (OSLI), an agency committed to effectively managing natural resources and funds for current and future generations, is seeking an Executive Assistant. The Executive Assistant performs executive\-level administrative and supportive duties for the Agency Director, Deputy Director, and Assistant Directors. Responsibilities include but are not limited to, handling incoming calls and correspondence, scheduling appointments, organizing and maintaining files, setting travel plans and arrangements, and organizing staff and stakeholder meetings with executive\-level management. This position will have a required schedule of Monday to Friday, 8 a.m. to 5 p.m.

    This position is located in Cheyenne, Wyoming. Cheyenne is a full\-service community, home to over 60,000 residents. Cheyenne is near four\-season outdoor recreation areas including the Snowy Range, and the Medicine Bow National Forest, and home to world\-class rock climbing at Vedauwoo. In addition, the location provides convenient access to the Colorado Front Range. Wyoming is one of only seven states with no state income tax.

    ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Responsible for senior administrative management of day\-to\-day operations, assigned programs, or projects.
  • Makes calls and answers telephones and may route calls to appropriate staff.
  • Acts as liaison between the Director, Deputy Director, Assistant Directors, and program managers to coordinate calendars for meetings and conference calls.
  • Provides support on office policies, procedures, and rules.
  • Attends takes minutes, and prepares necessary records for Board meetings and other public meetings.
  • Manages videoconference platforms such as Zoom and Google Meets for Board meetings and other remote meetings.
  • Makes all necessary travel arrangements for executive staff.
  • Receives, analyzes, and responds to requests for information.
  • Compiles and analyzes a variety of data and information and prepares related reports.
  • Tracks routine information.
  • Prepares routine response/notification letters.
  • Determines scope of work through data and service analysis.
  • Interacts with the Governor's Office, Legislators, and legislative staff, as well as other Elected Officials' offices.
  • Serves as the point of contact for the agency's rulemaking process.
  • Screens visitors and cold calls to determine access to agency staff.
  • Takes on various administrative responsibilities in order to allow management to focus on critical issues, as needed.
  • Coordinates a variety of advanced, diversified, and/or confidential administrative support functions.
  • Represents management in matters with immediate staff, agency staff, other agencies, and/or the public.
  • Conducts research related to specific projects or programs.
  • Serves as recording secretary to the State Board of Land Commissioners, the State Loan and Investment Board, and the Board of Deposits.
  • Composes, edits, and prepares correspondence, memorandums, and public meeting notices.
  • Prepares and places announcements for public hearings or notices in GovDelivery.

  • PREFERENCES:

    Preference may be given to applicants with experience working in a professional office setting. KNOWLEDGE:

  • Knowledge of the protocol in dealing with complaints and other issues involving interaction with the Governor's Office and the legislature and other high\-ranking officials.
  • Knowledge of office management, organizational methods, procedures, standards, practices, and etiquette.
  • Knowledge of computer applications, functions, and operations.
  • Knowledge of agency rulemaking process.
  • Excellent organizational skills and attention to detail.
  • Skills in Microsoft Word, Excel, Zoom, and Google applications.
  • Skills in effective oral and written communication.
  • Skills in interpersonal relations specifically related to contact with staff, agency management,
  • Ability to work independently, prioritize tasks, anticipate needs and problems, and make decisions to solve them.
  • MINIMUM QUALIFICATIONS: Education:

    Bachelor's Degree (typically in Business)

    Experience:

    0\-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II

    OR

    Education \& Experience Substitution:

    3\-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II
