Overview: This role exists for one primary purpose: to make the person you support more productive, effective, and efficient.
You will work directly with the Broker to understand everything that needs to be accomplished—daily, weekly, and long\-term. From there, you will take ownership of structuring priorities, creating a calendar that actually works, and ensuring it is followed.
This is both a personal assistant and operations assistant role. You are not just managing tasks—you are creating structure, prioritizing what matters, and making sure everything gets done.
It is not enough to organize the plan—you are responsible for execution and 'closing the loop'.
You will track tasks, follow up consistently, adjust when needed, and step in when things start to drift. The goal is to keep the Broker focused on high\-value activities while ensuring everything else is handled, scheduled, and completed.
Position Details (Non\-Negotiable):
- Full\-time, in\-person role (no remote or hybrid)
- Not an entry\-level position—prior experience required
- Fast\-paced environment with multiple moving priorities
- Must be comfortable managing up and holding others accountable
- Own and manage the Broker’s calendar, priorities, and daily flow
- Keep the Broker on schedule, prepared, and focused
- Track all tasks and ensure follow\-through—nothing falls through the cracks
- Prepare daily call lists, task lists, and priority plans
- Build and improve systems and processes
- Maintain accurate data entry and tracking (CRM, spreadsheets, etc.)
- Follow up persistently with team members to ensure execution
- Support business growth by keeping focus on revenue\-producing activities
- Proven experience in a personal assistant, executive assistant, or operations role
- Extremely organized and detail\-oriented
- Comfortable working independently
- Impeccable work ethic, memory and strong sense of accountability
- Self\-starter with urgency and follow\-through
- Strong but humble personality—comfortable holding others accountable
- Able to manage a high volume of moving parts without losing accuracy
- Tech\-comfortable (CRM, calendar systems, spreadsheets)
