- Provide direct support to the Housing Director, Deputy Director, and SHS Division Director, managing complex calendars, prioritizing requests, and preparing leaders for meetings and decision\-making.
- Anticipate needs, identify scheduling risks, and proactively surface issues or information to keep work moving efficiently.
- Coordinate in\-person and virtual meetings, retreats, conferences, and department events, including logistics, materials, and follow\-through.
- Collaborate with Council liaison with updating Housing Council invites when Housing is on the agenda and scheduling with Councilors.
- Use modern collaboration tools (Microsoft 365, Teams, Zoom; and Monday.com or workflow tools) to improve workflows and communication.
- Leverage AI\-enabled systems to support meeting preparation, inbox organization, routine scheduling, and document drafting where appropriate.
- Maintain digital files, shared drives, and knowledge systems to ensure information is easy to access and up to date.
- Conduct research, compile data, and prepare summaries, presentations, and reports to support leadership decision\-making.
- Track priorities, action items, and commitments across the department, ensuring timely follow\-up and clear communication.
- Serve as a central communication hub, partnering with internal teams, external agencies, and community stakeholders to support shared goals.
- Assist with confidential HR\-related tasks such as recruiting coordination, onboarding support, and personnel scheduling.
- Manage purchasing and expense processes, travel coordination, and administrative workflows.
- Draft, edit, and format professional correspondence, documents, and presentations.
- Maintain organized systems, records, and procedures to support department operations.
- Collaborate with the Administrative team and Administrative supervisor on processes, systems, and structures to provide consistency and alignment across the department.
- Strong organizational and prioritization abilities, especially in fast\-changing environments.
- Clear, professional communication—written, verbal, and digital.
- Comfort with technology, including common office software and virtual collaboration tools.
- Ability to use sound judgment, maintain confidentiality, and navigate sensitive information.
- Adaptability, emotional intelligence, and commitment to inclusive practices.
- Experience with AI\-supported productivity tools and workflow automation.
- Familiarity with digital collaboration or knowledge\-management platforms.
- Experience supporting projects, operations, or cross\-functional teams.
- Ability to apply trauma\-informed principles when engaging with diverse groups, including communities of color, individuals with lived experience of homelessness, subject\-matter experts, elected officials, service providers, and advocates.
- High school diploma or G.E.D., and
- Four years of progressively responsible experience in an executive administrative support capacity, or
- Any combination of education, professional, volunteer and lived experience that provides the necessary knowledge, skills, and abilities to perform the classification duties and responsibilities.
- Experience working with or understanding current regional policies and trends around housing, homelessness, and social services.
- Commitment to diversity, equity, and inclusion, with the ability to engage others with respect and curiosity about different perspectives.
- Experience working with people from diverse backgrounds inclusive and respectful ways.
- Experience in working or volunteering in government or political advocacy environments.
- Advanced experience using Zoom to schedule complex meetings and webinars. Advanced experience using Microsoft software (Outlook, Excel, Word, Teams).
- Experience supporting senior leaders with administrative and coordination work in fast\-paced environments.
- The ability to use discretion and discernment during verbal and written communication on highly political, high stakes, and sensitive information with both internal and external parties.
- Ability to perform and self\-manage a variety of complex administrative, technical and clerical tasks in fast\-paced and public\-facing environments for executive level/senior management positions.

The Housing Department works to ensure that everyone—across all communities—has access to stable, safe housing. Through voter approved Measure 26\-210 known as the Metro Supportive Housing Services fund, services are provided for people experiencing or at extreme risk of homelessness.
We are seeking an Executive Assistant to serve as a trusted partner to department leadership, blending high\-level administrative expertise with strategic operational support. In this role, you’ll manage complex logistics, improve information flow, and use modern tools and systems to help the department operate more efficiently and effectively. You’ll be relied on for sound judgment, adaptability, and collaboration, and you’ll have the opportunity to influence how work gets done while supporting leaders in work that serves diverse communities. COMPENSATION, BENEFITS AND REPRESENTATON
The full\-salary range for this position is step 1: $34\.41 to step 7: $46\.15\.However, unless a candidate’s qualifications justify, based on the Oregon Pay Equity Act requirements and Metro’s internal equity review process, the appointment will likely be made between step 1: $34\.41 to the equity range step 4: $39\.84\.
This position is eligible for overtime and is represented by AFSCME 3580\. It is classified as an Administrative Specialist IV position.
