Departmental Overview

Berkeley Law's executive education platform connects legal practitioners, investors, executives, and nonprofit leaders to a wide range of professional development training programs.

Berkeley Law Executive Education helps legal practitioners and business professionals, as well as government and nonprofit leaders, meet their professional goals by delivering world\-class certificate programs that teach hard and soft skills, elicit insights that lead to more effective problem solving, and expand participant networks. The program draws upon the expertise of UC Berkeley faculty, the law school's extensive alumni network, and deep relationships with business and legal leaders to provide program participants with access to thought leaders from a wide range of disciplines.

Many of the programs from Berkeley Law Executive Education provide for Mandatory Continuing Legal Education (MCLE) credits.

Programs offering MCLE credit include monthly webinars, online courses, and in\-person bootcamps and workshops.

Position Summary

The Associate Director of Operations for Berkeley Law Executive Education leverages extensive experience in administrative operations to serve as the unit's primary operational leader and Process Architect. Reporting to the Assistant Dean, this position oversees the financial, human resources, and data workflow infrastructures that enable the delivery of revenue\-generating programs and ensures smooth, efficient business processes across the unit.

The role manages the unit's non\-academic operations, including oversight of the data systems team, development and implementation of the Team Operating System, and management of the unit's budget and forecasting models.

This position also serves as a critical bridge between the department and the Law School's central business services, facilitating coordination, compliance, and process standardization.

Responsibilities

Operations and Workflow Management (40%)

Oversees the administrative and non\-academic operations for Berkeley Law Executive Education.

Responsible for designing, implementing, and continuously improving administrative and operational workflows.

Directs and coordinates administrative functions, including financial, human resources, and data workflow infrastructures, to support the effective delivery of revenue\-generating programs and ensure smooth, efficient business processes across the unit.

Designs and implements Standard Operating Procedures (SOPs) for key business functions, including program setup, contract routing, and vendor management, ensuring consistency and compliance across the department.

Manages the department's project management infrastructure (e.g., Asana), standardizing workflows to support transparency, efficiency, and effective asynchronous collaboration among team members.

Provides functional oversight of data workflows, including system onboarding and access protocols for the department's core technology platforms; ensures staff are trained appropriately and that platforms are used consistently to achieve business objectives. Financial Management and Budgeting (30%)

Oversees the end\-to\-end enrollment and revenue process.

Manages the registration logistics for open\-enrollment and custom programs to ensure data integrity.

Coordinates the accounts receivable process (e.g., invoicing, collections, and reconciliation) to ensure revenue is accurately captured and recognized.

In partnership with the Assistant Dean and Director, manages the unit's comprehensive operating budget, performing variance analysis and re\-forecasting to support financial oversight of a complex, revenue\-generating program portfolio.

Oversees all purchasing, travel, and entertainment processing, ensuring compliance with University policies and proper internal controls. Performance Monitoring, Training, and Team Development (25%)

Develops executive dashboards to monitor Key Performance Indicators (KPIs) related to enrollment health, financial performance, and operational efficiency.

Leads the onboarding process for new hires, ensuring comprehensive training on both operational responsibilities and team collaboration practices, including communication norms and tool usage.

Supports the Assistant Dean in fostering team culture initiatives, managing logistics for team retreats, strategic planning sessions, and tracking professional development activities. Other (5%)

Engages in professional development and training opportunities as needed.

Performs additional duties and other special projects as assigned. Required Qualifications

Thorough knowledge of and/or ability to quickly learn University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.

Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

Demonstrated ability to manage complex budgets for self\-sustaining, revenue\-generating units, ensuring financial integrity and accurate forecasting.

Proven skill in analyzing operational bottlenecks, designing efficient workflows, and developing clear, documented Standard Operating Procedures (SOPs).

Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.

Strong skills in short\-term planning, analysis, problem\-solving, and customer service.

Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.

Strong organizational skills with demonstrated ability to prioritize and coordinate several projects simultaneously with demanding timeframes.

Excellent analytical skills, with the ability to think creatively to solve problems and develop solutions.

Strong computer skills, including proficiency in Microsoft Office, Google Suite, and video conferencing platforms (e.g. Zoom, Skype, MS Teams, Google Meet, etc.), with the ability to learn new computer programs and software systems.

Experience using project management platforms (e.g., Asana, Trello, Monday.com) to coordinate team workloads, track deliverables, and ensure timely completion of tasks.

Strong attention to detail.

Ability to use discretion and maintain confidentiality.

Ability to serve as a trusted resource and problem\-solver for the team, exercising sound judgment, and fostering a high\-performing, collaborative work environment.

Skilled in short\-term planning, project management, operational analysis, and delivering high\-quality customer service.

Bachelor's degree in related area and / or equivalent experience / training.

Preferred Qualifications

Experience using Salesforce and Canvas (or similar platforms) to support business objectives.

Familiarity with and/or ability to learn UC Berkeley systems and processes.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted annual salary range that the University reasonably expects to pay for this position is $101,497\.68 \- $112,062\.96, Step 3 \- 8\.

This is an exempt, monthly\-paid position.

This is a full\-time, Career position that is eligible for full UC benefits.

Other Information

This position is governed by the terms and conditions in the agreement for the Clerical \& Allied Services Unit (CX) between the University of California and Teamsters Local 2010\. This is not a visa opportunity. This position does not include sponsorship of a new consular H\-1B visa petition that would require payment of the $100,000 supplemental fee.

This position is eligible for up to 20% remote work. Hybrid arrangements are determined in partnership with the supervisor to meet operational needs and may be modified based on business requirements. The incumbent is expected to work primarily on\-site and participate in in\-person meetings, programs, and events as needed.
