Job Description:
The Administrative Technician supports our Virtual Intensive Outpatient Program (IOP) by ensuring smooth day\-to\-day operations in a fully remote environment. This role focuses on managing communications, coordinating virtual group sessions, maintaining accurate client records, and supporting the clinical team with administrative tasks. The ideal candidate is highly organized, detail\-oriented, tech\-savvy, and comfortable working in a fast\-paced, confidential behavioral health setting.
Key Responsibilities
- Serve as the first point of contact for clients via phone, email, or secure messaging, providing a professional and compassionate experience.
- Monitor virtual group attendance, communicate attendance updates to the clinical team, and follow up with clients as directed.
- Assist clients with accessing virtual platforms (e.g., Zoom, telehealth portals) and troubleshoot basic connectivity issues.
- Direct client inquiries to the appropriate staff members, ensuring timely communication and follow\-up.
- Monitor breathalyzer readings each shift before admitting the client into groups.
- Maintain accurate and confidential digital files and records in the Electronic Medical Record (EMR) system.
- Support the leadership and clinical teams by completing assigned administrative tasks, preparing digital materials, and ensuring accurate data entry.
- Update client records, including documentation of attendance, progress notes, and other relevant information in compliance with HIPAA standards.
- Prepare and distribute digital group materials (e.g., worksheets, forms, and educational handouts) before sessions.
- Assist with coordination of client graduations, celebrations, and virtual program events to ensure they run smoothly.
- Monitor virtual group rosters and communicate with facilitators regarding schedule updates or technical issues.
- Provide technical support and reminders for group leaders and clients prior to group when needed.
- Help coordinate software updates, platform access, and troubleshooting for telehealth systems in collaboration with Virtual Office Manager.
- Maintain organized digital storage systems for administrative and clinical documents.
- Education: High school diploma or equivalent required; associate’s degree preferred.
- Experience: Prior experience in an administrative, virtual assistant, or healthcare support role preferred.
- Technical Skills: Proficiency with computers, EMR systems, Microsoft Office Suite, and telehealth/virtual platforms (Zoom, Teams, Google Workspace, etc.).
- Ability to navigate and manage multiple digital tools efficiently.
