As our firm continues to grow rapidly, we are seeking a proactive, highly organized, and detail\-oriented Executive Assistant to support our busy Director of Operations. This individual will play a critical role in keeping daily operations running smoothly, managing multiple priorities, and helping foster collaboration across our team of appraisers, staff, and clients.

About the Role

This is a full\-time, in\-office position that requires exceptional time management skills and the ability to handle multiple tasks simultaneously. The ideal candidate thrives in a fast\-paced environment, anticipates needs before they arise, and takes initiative without being asked. This role is best suited for someone who enjoys structure, problem\-solving, and staying one step ahead to ensure efficiency and organization throughout the office.

Key Responsibilities

  • Provide high\-level administrative support to the Director of Operations
  • Manage calendars, schedule meetings, and coordinate office logistics
  • Answer and direct phone calls professionally and efficiently
  • Research and manage new appraisal panels; assist with appraiser onboarding and registration
  • Maintain organized filing systems (digital and physical)
  • Prepare and monitor invoices; enter and update orders in the system as needed
  • Maintain and update master lists and internal tracking sheets
  • Handle confidential information with discretion and professionalism
  • Communicate effectively with appraisers, clients, and external partners to ensure smooth workflow
  • Provide general office support to both staff and visitors
  • Draft and respond to correspondence via phone, email, and in\-person communication
  • Monitor and maintain office supply inventory
  • Anticipate needs and proactively address operational or administrative challenges before they arise
  • Contribute to a positive, collaborative, and high\-performing team culture
  • Qualifications \& Skills

  • Minimum
  • 3\+ years of administrative or executive assistant experience, preferably supporting senior management or operations leadership

    * Exceptional organizational and time management skills, with the ability to prioritize, multitask, and meet tight deadlines in a fast\-paced environment

    * Strong attention to detail and accuracy in data entry, scheduling, and document management

    * Excellent written and verbal communication skills, with a professional and polished demeanor

    * Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfortable learning new software platforms quickly

    * Tech\-savvy and adaptable, with a willingness to embrace new tools, systems, and processes to improve efficiency

    * Proactive problem solver who anticipates needs and takes initiative without constant direction

    * Dependable and self\-motivated, with a strong sense of ownership and accountability

    * High level of discretion and professionalism when handling sensitive or confidential information

    * Positive, team\-oriented attitude with the ability to build strong relationships with colleagues, clients, and partners

    Additional Information

  • This is a
  • full\-time, in\-office position (no remote work option).
