Job Overview
We are seeking an energetic and highly organized Executive Administrative Assistant to support our leadership team. This vital role involves managing administrative tasks with precision, ensuring smooth office operations, and providing exceptional customer support. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills to thrive in a fast\-paced, tech\-forward environment.
Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings for executives with efficiency and professionalism
- Handle multi\-line phone systems, answer inquiries, and direct calls with courteous phone etiquette
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office and Google Workspace
- Assist with bookkeeping tasks using QuickBooks and support basic office management functions
- Support customer service efforts by addressing client inquiries promptly and professionally
- Proofread documents for accuracy and clarity before distribution or submission
- Proven clerical experience in an office setting with strong organizational skills
- Prior experience as a personal or medical receptionist is highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Demonstrated ability to manage calendars, handle data entry, and perform filing efficiently
- Experience with bookkeeping software such as QuickBooks is preferred
- Strong computer literacy, typing skills, and attention to detail in proofreading tasks
