Position Overview
The Accounting \& Administrative Assistant supports the financial and operational functions of the parish. This position is part\-time (approximately 3 days per week), with flexibility in scheduling. Responsibilities include processing financial transactions, maintaining records, supporting clergy and staff with administrative tasks, and coordinating updates to parish communications and signage. The role reports directly to the Director of Administration \& Finance (DAF).
We are actively seeking a candidate with a solid accounting background who can take on increasing responsibility as the parish’s financial operations continue to evolve. The position begins part\-time, with a clear path to full\-time for the right individual.
Key Responsibilities
Accounting \& Finance
· Process accounts payable: from entering invoices into the system, to mailing checks
· Handle contribution recording and processing from physical collections and electronic platforms, including development and delivery of contribution statements; respond to donor inquiries
· Prepare and transmit bi\-weekly payroll
· Perform monthly bank reconciliations, journal entries, and other activities associated with monthly closing.
· Assist with annual audit preparation and financial reporting
· Issue rent invoices to tenants and track payments
Administrative and Communications Support
· Handle correspondence and scheduling, including drafting letters and memos for signature
· Maintain parish records including member information, baptismal certificates, registers, financial files, and diocesan forms, maintaining confidentiality of sensitive information
· Provide general admin. support to clergy, vestry, and pastoral staff
· Collaborate with the remote Communications Coordinator to ensure website, bulletins, signage, and parish announcements are consistent, accurate and timely
· Provide front\-desk coverage as needed
Qualifications
· Bachelor’s degree in Accounting, Finance, Business Administration, or a related field; Associate’s degree with substantial bookkeeping experience will be considered
· 3–5 years of hands\-on accounting or bookkeeping experience, including general ledger maintenance, bank reconciliations, accounts payable/receivable, and month\-end close
· Experience in nonprofit, religious, or similar mission\-driven organization accounting preferred; familiarity with fund accounting a plus
· Proficiency in Microsoft Word, Excel, and PowerPoint
· Experience with ACS Technologies and Payentry preferred
· Excellent organizational and communication skills
· High attention to detail and discretion with confidential information
· Ability to manage tasks independently and meet deadlines
Work Schedule \& Physical Requirements
· Part\-time: approximately 3 days per week
· Flexible scheduling available; occasional extended hours may be required
· On\-site presence required
· Ability to lift up to 25 lbs, file documents, and perform standard clerical tasks (standing, sitting, bending)

Pay: $30\.00 \- $35\.00 per hour
