We have an exciting opportunity for a Property Assistant to join our team in the Seattle, Washington office. Supporting the Pacific Northwest region and reporting to the Regional Operations Manager, you will provide support to the Operations Team and assist with the management of a 9\-million\-square\-foot portfolio of industrial properties located throughout Washington, Oregon, and Idaho.
ABOUT THE ROLE:
Administrative \& Operational Support
- Manage frontline office administrative functions, including greeting visitors, answering phones, and mail processing.
- Order and maintain office, printer, and breakroom supplies; coordinate vendor orders and monitor inventory levels.
- Provide support to the property team and Regional Operations Manager during acquisitions and dispositions of properties.
- Coordinate team\-building activities, tenant events and philanthropic volunteer initiatives across the region, including budgeting, vendor setup, communications, scheduling, and on\-site logistics.
- Manage annual holiday gift ordering and delivery for property teams and tenants, including vendor coordination and payment processing.
- Support ESG\-related initiatives and assist with transitioning select coordination tasks to property teams as the portfolio grows.
- Assist with utility onboarding at acquisitions and support ongoing utilities monitoring to ensure continuity of service.
- Process regional office utility bills (e.g., Comcast) and support related accounting workflows.
- Respond to utility exceptions, disconnection notices, and billing anomalies in coordination with property teams and vendors.
- Provide administrative support for tenant letters of authorization and related utility or billing items.
- Assist with processing invoices and vendor inquiries on payment status.
- Maintain electronic lease files and ensure compliance with corporate file structure.
- Work collaboratively with Accounting and Leasing teams.
- Draft service contracts, purchase orders, and work authorizations.
- Schedule and oversee routine maintenance, inspections, and repairs.
- Coordinate with vendors and contractors for building services and capital projects.
- Track vendor performance and ensure compliance with contracts and insurance requirements.
- Work collaboratively with Building Engineering and Construction teams.
- Assist with property inspections and ensure compliance with safety, environmental, and regulatory standards.
- Lead business license management by saving records, assisting with applications, coordinating payments, and maintaining centralized resources.
- Track vendor Certificates of Insurance (COIs), including requests, filing, and system updates.
- Assist with drafting of Standard Operating Procedures (SOP), compliance audit preparation and documentation requests.
- Generate monthly, quarterly, and annual reports for ownership and management.
- Maintain organized records of property operations, contracts, and communications.
- Utilize property management software (e.g., MRI, Prism, Salesforce, PMWeb) for data entry and reporting.
- Support digital filing systems and cloud\-based collaboration tools.
- High school diploma is required.
- Four\-year degree is preferred.
- Three (3\) years of administrative, operations, or property management support experience (commercial real estate preferred).
- Excellent internal and external customer service skills with an ability to multi\-task and handle interruptions calmly and politely.
- Financial acumen and strong problem\-solving analytical skills.
- Strong communication skills, both oral and written.
- Must be proficient with Microsoft Office 365 Suite.
- Must be a self\-starter with strong organizational skills and able to independently manage priorities and workflow.

WHAT WE ARE LOOKING FOR IN A CANDIDATE:
COMPENSATION:
The anticipated hourly range for this position is $60,000\-65,000 per year. Actual compensation will depend on several factors, including, but not limited to, experience, other job\-related skills and qualifications as permitted by law. This position offers a great potential for upward mobility.
