GENERAL SUMMARY:
The Pharmacy Contract Sourcing Specialist reports to the Pharmacy Director – Drug Use Policy and Pharmacy Sourcing, Henry Ford Health, and works closely with the managers and staff in other areas of the Henry Ford Health Pharmacy Product Line as assigned. Supports the pharmacy purchasing office(s) within the Henry Ford Health Pharmacy Product Line, as a member of the Pharmacy Commodity Team within Henry Ford Health. Focuses on system pharmacy product standardization initiatives, existing Henry Ford Health pharmacy business practices, regulatory and safety compliance, contractual pharmaceutical agreements, and the specialized needs of end\-users within the pharmacy service lines. Develops and maintains effective working relationships with a variety of customers, both internal and with outside suppliers, necessary to meet the requirements of this position. Seeks to ensure end\-user customer satisfaction, outstanding vendor performance, and System pharmacy contract and standardization compliance for pharmaceuticals sourced for Henry Ford Health. Facilitates environment focused on customer service, enhancing value and supply expense reduction. Serves as the practice lead and support for the Pharmacy Buyer and pharmacy stockroom associates.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
- Demonstrates in depth knowledge of pharmacy services and all associated Henry Ford Health business practices.
- Involved in maintaining the integrity of the pharmacy contract and purchasing database and is responsible for systemic notification of expiring contracts.
- Acts as an information source regarding pharmaceutical contracts and business practices for pharmacy, including product information and compliance to System pharmacy product standardization initiatives.
- Develops and maintains effective working relationships and remedies concerns in areas of responsibility.
- Serves as a liaison to inpatient and ambulatory clinic leaders to monitor and communicate medication purchase and distribution discrepancies with aid to resolution.
- Seeks out best pricing opportunities whenever available through approval channels and vendors.
- Actively communicates and educates co\-workers and end\-users in system initiatives, business practices, contractual agreements, and standardization processes.
- Collaborates with all inpatient and ambulatory clinic leaders on providing purchase reports, drug expense, pricing, distribution, as well as with Finance for all impacted pharmaceutical GL codes and expenses.
- Serves as the primary resource for the application\-specific creation of user IDs and passwords specific to the pharmacy purchasing software application. Maintains User IDs in user database/server and collaborates with area leaders on integrity of users.
- Responsible for procuring pharmaceuticals and related supplies for the organization and ensuring compliance with procurement standards, procedures, policies, and agreements.
- Maintains vendor and drug database with additions and deletions of medications and or vendors within the pharmacy purchasing software application.
- Orders pharmaceuticals and related supplies that are necessary for supporting pharmaceutical care within an integrated health system.
- Meets with pharmaceutical vendors, distributors and providers and ensure all pricing is accurately reflected and loaded for the system.
- Reviews and processes purchase requisitions that can include both expense and capital requests. Confers with requesters regarding specifications, delivery requirements, and other special needs.
- Processes all invoices daily and ensure all expenses are according to system established and acceptable accounting practices.
- Resolves match/exception and rejection within guidelines established by management as it relates to dollar thresholds and days outstanding.
- Actively cross references non\-formulary or non\-inventoried item requests to defined formulary products and facilitates the addition of products to the inventory to drive overall utilization.
- Performs computer data entry of purchase requests.
- Resolves discrepancies between receipts and purchase order requirements. Resolves invoice discrepancies and probable causes of non\-payment.
- Expedites back orders when necessary and verifies the acceptability of substitutes with requesters.
- Ensures compliance with pharmacy purchasing policies and regulatory standards, including, but not limited to The Joint Commission and 340b requirements as defined by the Health Resources \& Services Administration.
- Processes pharmaceutical returns with vendors as needed.
- Maintains standards related to the operations of the pharmacy purchasing office and pharmacy stockroom.
- Assists with pharmaceutical recalls and investigate impact to internal and external customers of the pharmacy purchasing office.
- Serves as the practice lead and support for the Pharmacy Buyer and pharmacy stockroom associates.
- Evaluates and respond to drug shortages and assess alternatives with appropriate stakeholders.
- Collaborates with the Henry Ford Health Drug Information team to ensure formulary compliance and appropriate medication management within the system.
- Participates in committees and outside associations as necessary.
- Bachelor's Degree in Materials Management, Health Administration, Accounting, or related field, or the equivalent in work experience (equivalent experience accepted as four (4\) years of pharmacy technician in a hospital or ambulatory setting).
- Three\-five (3\-5\) years of experience involving medication procurement, pharmacy sourcing and medication inventory management in a health care setting required.
- Pharmacy technician experience strongly preferred.
- Knowledge and/or understanding of 340b preferred. • Strong computer skills and working knowledge of Microsoft Office products required.
