Dickson Frohlich Phillips Burgess is a mid\-sized law firm looking for a reliable Accounting Operations Assistant to join our team full\-time. This hybrid role combines Accounting and Case Management functions and is instrumental in maintaining revenue accuracy, optimizing billing efficiency, and enhancing client satisfaction.
This role is responsible for ensuring accurate and timely processing of client\-related expenses, maintaining billing records, supporting monthly billing cycles, and collaborating with internal teams to ensure client inquiries and matter funding needs are met efficiently. The ideal candidate is organized, proactive, and comfortable working with financial systems in a fast\-paced legal environment.
Key Responsibilities
- Manage and code credit card transactions in QuickBooks Online, including tracking client\-related expenses
- Maintain accurate records and ensure all supporting documentation (e.g., receipts) is collected and attached
- Enter and monitor client costs in Clio, ensuring accuracy and proper synchronization with QBO
- Reconcile firm credit card accounts on a monthly basis
- Process vendor statements, reports, and additional client expenses (e.g., postage, third\-party costs)
- Support billing and invoicing processes, including prebill preparation and invoice distribution
- Assist with accounts receivable and trust accounting functions
- Maintain and update client account and billing records
- Communicate with attorneys, staff, and clients regarding routine billing matters
- Generate reports and support billing\-related analysis as needed
- Assist with matter maintenance, client closeouts, and administrative billing projects
- Provide general administrative support and assist with special projects as assigned
- 4\-5 years of experience in billing, accounts receivable (collections), or accounting support (legal experience preferred)
- Strong attention to detail (We cannot overstate how important this is!)
- Experience with QuickBooks Online and/or legal billing software (such as Clio)
- Accuracy in financial data entry and reconciliation
- Ability to manage multiple tasks and meet deadlines in a deadline\-driven environment
- Professional written and verbal communication skills
- Proficiency in Microsoft Office \- particularly Excel
- Strong organizational and time management skills
- Professional in appearance and demeanor
- Punctual and reliable attendance record
- Must be comfortable in a support role, receiving delegation well, working independently, and completing tasks in a timely manner
- Must work well with others and contribute to a positive, collegial work environment
- Experience in a law firm or professional services environment
- Ability to confidently communicate with clients regarding billing, payments, and account matters with professionalism and a high level of client care
- Familiarity with client cost tracking and legal billing processes
- Basic understanding of accounting principles and reconciliation procedures

Physical Requirements:
This is primarily a seated, in\-office position involving extended periods of computer\-based work. Daily tasks include using a keyboard and mouse, reviewing information on computer monitors, and working within billing and accounting systems. The role requires regular communication with attorneys, staff, and clients via email and phone.
The position also involves general office activities such as organizing documents, handling files, and managing routine administrative tasks. The ability to move around the office, including walking, bending, and occasionally lifting or carrying office supplies (up to approximately 30–40 pounds), is required.
This is an in\-person position at our Tacoma office located in downtown Tacoma. Due to the nature of the job duties, this position does not lend itself to remote work except during temporary times of inclement weather or government closures when remote work may be authorized.
