JOB SUMMARY
Freres Engineered Wood is a dynamic forest products manufacturer that’s revolutionizing the mass timber market with its newly patented Mass Ply Panel (MPP) product. We are seeking an experienced Admin Specialist to assist us in taking the Company to the next level.
The Admin Specialist reports to the Accounting Manager and will provide general administrative and office support across our team and specifically at our Plywood plant. This position will manage residual contracts, backup payroll and other AR related functions.
ESSENTIAL FUNCTIONS
- Manage residual contracts including creating and updating contracts, reports, reconciliation of shipments and payments, etc.
- Provide front desk reception, greet visitors, direct them to the appropriate department, and answer phone calls.
- Backup payroll functions and provide on\-site payroll support for Plywood employees.
- Backup accounts receivable functions.
- Draft, format and type memos and letters.
- Assist with Fed\-X, Mail and UPS deliveries and distribution of incoming/outgoing packages.
- Enter accurate data into spreadsheets and systems.
- Answer the phone, assist customers, employees and applicants that visit corporate office.
- Organize and maintain filing systems and office storage areas to ensure easy access to documents.
- Maintain cleanliness and supplies in kitchen and common areas while monitoring inventory levels of stock items.
- Assisting other departments and team members as needed.
- Sitting for an extended period, occasional lifting.
- Standing or sitting for prolonged periods\-of\-time; Walking, Lifting, Carrying, Balancing, Stooping, Reaching, Handling, Feeling, Communicating, Acuity\-Far, Acuity\-Near, Depth Perception, and Field of Vision.
- Must be able to work in an office environment, while also being able to navigate each plant and/or department facilities
- Ability to lift and/or move up to 20 pounds.
- High school diploma or equivalent required; some college coursework preferred
- Previous office experience required
- Positive and Excellent Interpersonal and Customer Service Skills
- Ability to act with integrity, professionalism and confidentiality
- Excellent attention to detail and organizational skills
- Clear written and verbal communication skills
- Must have intermediate to advanced computer skills to work in Microsoft Office (Outlook, Word, Excel) and be capable of becoming proficient in our HRIS system and other systems/applications used for the position
- Willingness to learn and take on new responsibilities

- Ability to organize, plan and prioritize work to complete within required time frames
