AP/AR \& Administrative Coordinator (Virtual Assistant)

- Manage accounts payable and accounts receivable processes accurately and on time
- Record and maintain financial transactions in QuickBooks
- Monitor invoices, payments, outstanding balances, and vendor records
- Follow up on receivables and assist with collections communication as needed
- Answer incoming phone calls professionally and direct inquiries appropriately
- Provide email support to clients, vendors, and internal team members
- Assist with data entry, document organization, and general administrative support
- Maintain accurate digital records and ensure documentation is up to date
- Coordinate with internal team members regarding billing, payments, and administrative needs
- Support office systems and workflows to help improve organization and responsiveness

- 2\+ years of experience in bookkeeping, AP/AR, or administrative support
- Proficiency in QuickBooks required
- Strong written and verbal communication skills
- Experience answering phones and handling email\-based support professionally
- Strong attention to detail and accuracy with financial data
- Ability to manage multiple responsibilities and stay organized independently
- Experience in construction or contractor\-related environments is a plus
- Familiarity with JobTread and/or BuilderTrend is a plus
- Comfortable working remotely with minimal supervision
- Reliable internet connection and a professional remote work setup required
