We are seeking a dynamic and highly organized Administrative Assistant to join our team! As an Administrative Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks efficiently, and assist with various office management duties to keep our operations running smoothly.

Responsibilities

  • Greet visitors and manage front desk activities with professionalism and warmth
  • Operate multi\-line phone systems, answer inquiries, and direct calls accurately using proper phone etiquette
  • Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications
  • Handle data entry tasks with precision, including updating records in QuickBooks and other software tools
  • Manage calendar appointments, schedule meetings, and coordinate events to optimize time management for staff
  • Provide exceptional customer support by addressing inquiries promptly and courteously
  • Assist with clerical duties such as proofreading documents, preparing correspondence, and managing office supplies
  • Support bookkeeping activities and basic office management functions to ensure operational efficiency
  • Qualifications

  • Proven experience in an administrative or clerical role within an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or similar accounting software is preferred
  • Excellent organizational skills with a keen eye for detail and accuracy in data entry and proofreading
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Demonstrated ability to handle multi\-line phone systems and maintain professional phone etiquette
  • Previous experience as a receptionist or personal assistant is advantageous
  • Exceptional time management skills to prioritize tasks efficiently in a fast\-paced setting
