Job Summary
We are seeking a highly organized and detail\-oriented Finance and RCM Assistant to support the day\-to\-day operations that keep our business running smoothly. This role plays a critical part in managing payroll, employee onboarding, client invoicing and compliance tracking.
You'll be responsible for ensuring processes are executed accurately, deadlines are met and systems stay organized. This is a high\-impact role ideal for someone who thrives in a fast\-paced environment and takes pride in keeping things running behind the scenes.

Work Schedule
This role is expected to work 20 hours per week, Monday through Friday. The position will work during set hours, but exact hours can be flexible and agreed upon during hiring.
Duties
Payroll \& Payroll Tax Management
- Process payroll twice monthly
- Ensure accuracy of employee compensation, deductions and adjustments
- Manage payroll tax filings and compliance through payroll systems
- Maintain payroll records and resolve discrepancies
- Coordinate end\-to\-end onboarding for new hires
- Prepare and send onboarding documentation
- Set up employee accounts across systems (email, payroll, tools)
- Ensure completion of required employment and compliance documentation
- Assign and track required trainings (HIPAA, security, etc)
- Generate and send client billing invoices twice monthly
- Generate and send credentialing invoices as needed
- Monitor outstanding invoices and send payment reminders
- Apply late fees and manage collections
- Evaluate billing rates on a quarterly basis
- Send contracts and follow up for execution
- Maintain organized contract records
- Address Client Invoicing Concerns
- Audit Past Due Invoices for Collections
- Track and manage business registrations and renewal deadlines
- Submit required fillings and maintain compliance records
- Reconcile transactions in QuickBooks Online
- Enter and track business expenses in budget
- Assist with financial reporting preparation
- Manage shared inbox and route inquires
- Maintain CRM data and assist with pipeline follow\-ups
- Send outreach emails in CRM as needed
- 2\+ years of experience in operations, administrative support, payroll, bookkeeping or related role
- Experience processing payroll and/or working within a payroll system is required
- Experience onboarding employees across multiple states is preferred
- Experience with invoicing, accounts receivable or collections is preferred
- Prior experience in healthcare, therapy or service based business is a plus
- Proficiency in Quickbooks Online (or similiar software)
- Strong proficiency in Google Workspace
- Comfortable working in Paylocity or other payroll system
