We are seeking a dynamic and detail\-oriented Rebuild Coordinator with construction experience. In this pivotal role, you will coordinate all phases of our rebuild efforts, helping to consistently communication with our customers and our Team on status of all rebuild projects whether unscheduled/unsold or in progress. Your expertise in construction management, project scheduling, and contract administration will drive efficiency and excellence across our rebuild initiatives. GENERAL SUMMARY
Under the general supervision of the Director of Rebuild, performs a wide variety of duties relative to the day\-to\-day operations of the Rebuild Division and a wide variety of general duties relating to customer service established by company policies and procedures.
ESSENTIAL JOB FUNCTIONS\*
1\. Intake of all new referrals/jobs from our Customer, entry into Restore365 software, and scheduling for scope by Project Manager.
2\. In Shared Team Workbook, track Rebuild referrals and jobs through all phases of the Rebuild Process up to job Completion.
3\. Update Xactanalysis and Restore365 in real time on all jobs including all notes, budget numbers, contracts, timepoints, photos, 3\-D imaging, documents and communication on revisions.
4\. Coordinate with the Mitigation Division to ensure effective intercompany communication for a smooth transition for the customer.
5\. Prepare contracts and obtain signatures prior to start of job and obtain signed Certificate of Satisfaction at job completion.
6\. Meet all insurance program requirements and timelines as specified by program guidelines and industry standards.
7\. Have a “Let’s get it done” attitude to ensure excellent customer service, customer retention and helping grow a strong and successful Rebuild Division.
8\. Performs all job assignments in accordance to task specifications and standard operating procedure. Work is to be performed efficiently and to ServiceMaster standards of quality.
OTHER DUTIES AND RESPONSIBILITIES
- Daily communication with the Director of Rebuild.
- Participate in all Rebuild meetings to ensure real time status of all jobs.
- Escalate all customer issues and complaints immediately to the Director of Rebuild.
- Work in our Norwood building along with our remote Coordinator to ensure complete, timely communication and documentation.
- Work with the Director of Rebuild to close out sales for the month by the 10th business day of the following month.
- Complete all additional assigned tasks per deadline requested working extra hours as needed or required.
- Participate in all other departmental meetings as assigned by Director of Rebuild.
- Participate in your personal professional development.
- Performs related clerical duties as may be assigned or required.
- High school diploma or GED and three years related experience. College degree recommended but not required.
- Experience in understanding of the rebuild/construction process, building materials and phases of rebuild projects. Ability to understand rebuild service terms and documents.
- Experience in understanding the rebuild insurance claims process and requirements.
- Ability to write correspondence and communicate effectively with customers and members of the Gilmore Team.
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Must have strong customer service skills and the ability to multi\-task.
- Experience with database software, internet software, spreadsheet software, and industry specific software.
- Must continually be able to talk.
- Frequently required to sit and listen.
