About the Role

We’re looking for a highly organized, detail\-oriented Project Operations Coordinator to become the operational backbone of our company.

This is a part\-time, hybrid role with primarily remote work and occasional in\-person coordination in the Cape Coral and/or Boca Raton areas. You’ll manage the flow of projects from lead to completion—keeping schedules tight, materials on time, and communication dialed in.

What You’ll Be Responsible For

Operations \& Systems Management

  • Own and manage
  • Houzz Pro and BuilderTrend

  • Keep all project timelines, client communication, and lead tracking accurate and up to date
  • Takeoffs \& Proposals

  • Perform digital takeoffs for insulation scopes
  • Build clean, accurate proposals for homeowners and builders
  • Procurement \& Job Readiness

  • Order materials and coordinate deliveries
  • Work with suppliers to ensure jobs are fully staged and ready for install
  • Stay ahead of scheduling conflicts and delays
  • Client, Builder \& Email Coordination

  • Manage scheduling and the master calendar
  • Handle day\-to\-day
  • email communication with clients, builders, and vendors

  • Confirm appointments and follow up to keep projects moving
  • Maintain a professional, responsive communication standard across all channels
  • Crew \& Company Hour Tracking

  • Track and log
  • crew hours by job and phase

  • Maintain accurate time records for payroll and job costing
  • Monitor labor against budgets to help keep projects on track and profitable
  • Financial Tracking

  • Handle invoicing and milestone billing
  • Track job budgets and costs using Excel
  • Help ensure jobs stay organized and profitable
  • What We’re Looking For

  • Experience with
  • Houzz Pro, BuilderTrend, and Microsoft Excel

  • Strong
  • email communication and coordination skills

  • Experience with
  • time tracking, payroll inputs, or job costing is a big plus

  • Background in
  • construction, insulation, or trade services preferred

  • Extremely organized with strong attention to detail
  • Confident communicator with clients and vendors
  • Self\-driven and reliable working remotely
  • Someone who takes ownership and wants to grow with a company

Position Details

* Location: Remote / Hybrid (Cape Coral \& Boca Raton, FL)

* Schedule: Part\-Time (15–25 hours/week, flexible)

* Compensation: $19\.00 – $23\.00/hour (based on experience)
