We are seeking an organized and friendly Legal Receptionist to serve as the welcoming face of our legal office. This vital role involves managing front desk operations, providing exceptional customer service, scheduling appointments, and handling new client intake with efficiency and professionalism. The ideal candidate will be proactive, organized, and possess excellent communication skills to assist clients, visitors, and team members seamlessly. We're currently primarily a virtual office, but when we move into an office space, this position will be in person most days. We operate as a small team, so you'd be working closely with the attorneys and paralegals.

Duties

  • Greet clients, visitors, and staff warmly while managing the firm's main line with enthusiasm and professionalism
  • Operate multi\-line phone systems to answer inquiries, direct calls accurately, and handle message taking with clarity
  • Manage appointment scheduling, calendar coordination, and maintain accurate records using Microsoft Office, Calendly, Clio, and Google Workspace tools
  • Assist with clerical duties including managing our client intake software (Clio)
  • Provide exceptional customer support by addressing inquiries promptly and courteously in both English and bilingual languages as needed
  • Maintain a tidy reception area while ensuring all office supplies are stocked and equipment is functioning properly
  • Skills

  • Strong experience in front desk operations and office management within a professional environment
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
  • Excellent phone etiquette with experience handling multi\-line phone systems and providing customer service support
  • Exceptional organizational skills with the ability to prioritize tasks efficiently using time management techniques
  • Attention to detail for entering accurate client information and maintaining accurate records
  • Experience with clerical tasks such as filing, calendar management, and scheduling
  • Demonstrated ability to handle confidential information discreetly while providing outstanding customer support
